About The Position

The Office Administrator will provide part-time, on-site administrative support one day per week to help ensure the office operates efficiently, remains well organized, and supports timely communication across departments.

Requirements

  • Proven experience as an Office Admin or in a similar role.
  • Excellent attention to detail and organizational skills.
  • Ability to work independently and collaboratively in a team environment.
  • Effective communication skills to interact with vendors and internal stakeholders.
  • Proficient in Microsoft Office and other relevant software.

Responsibilities

  • Receive, open, sort, and review incoming office mail, including invoices, checks, human resources documents, tax documents, legal notices, and other business correspondence.
  • Route correspondence to the appropriate internal recipient or department in a timely and professional manner, including scanning and distributing documents by e-mail when applicable.
  • Maintain confidentiality and professional standards when handling sensitive, financial, legal, employee, or company records.
  • Maintain organized physical filing systems and ensure documents are filed accurately and consistently in accordance with company procedures.
  • Scan, label, and organize documents as needed to support accurate record retention and efficient retrieval.
  • Support administrative documentation processes by maintaining logs, tracking records, and updating internal files as required.
  • Deposit checks in accordance with company procedures and promptly communicate deposit details to the accounting team.
  • Assist with the routing of invoices, payment notices, remittance information, and other finance-related documentation to the appropriate personnel.
  • Provide basic administrative support to accounting and finance teams by organizing supporting documentation and responding to routine information requests.
  • Maintain the office environment in a clean, organized, and professional condition to support a productive workplace.
  • Monitor office supplies, kitchen inventory, snacks, coffee, and related items; coordinate replenishment as needed.
  • Identify and report office maintenance needs, equipment issues, or facility concerns to the appropriate contact for resolution.
  • Serve as an on-site administrative point of contact for routine office matters during scheduled office coverage.
  • Assist with coordinating office access, visitor needs, deliveries, and vendor interactions when applicable.
  • Prepare, organize, and communicate administrative updates to internal teams as needed to support office continuity.
