About The Position

We are seeking a professional and reliable Front Desk Coordinator to serve as the face of the office. This individual will be responsible for managing day-to-day front office operations, supporting administrative needs, and ensuring a welcoming and organized environment.

Requirements

  • Proficiency in Microsoft Office, including Excel for simple tracking and Word for document editing/templates.
  • Experience in administrative coordination, handling front desk responsibilities, managing calls, and supporting office workflow.
  • Professional communication skills with a clear, friendly, and confident phone presence; ability to follow up on payments and client requests.
  • Document handling skills including printing, scanning, filing, and maintaining organized records.
  • Reliability and consistency with strong attendance, punctuality, and professionalism.

Nice To Haves

  • Exposure to construction or related industries is a plus.
  • Familiarity with COI (Certificate of Insurance) processes.
  • Experience in client follow-up, especially in handling sensitive conversations like past-due payments.
  • Light proposal support experience, such as filling in templates or assisting with basic document creation, scheduling, and billing.
  • Prior experience in an office or administrative environment is preferred.
  • Strong interpersonal and communication skills.
  • Ability to stay organized and manage multiple small tasks.
  • Positive attitude and team-oriented mindset.

Responsibilities

  • Greet visitors and maintain a professional front desk presence.
  • Answer and direct incoming calls.
  • Send follow-up emails and make outbound calls, including payment reminders.
  • Print, scan, and file documents.
  • Prepare and update basic proposals using templates.
  • Manage weekly Certificate of Insurance (COI) requests and documentation.
  • Support general office organization and administrative tasks.
