This position is for a motivated professional with strong organizational and interpersonal skills seeking to transition into the Office Administrator role at Sun Chemical. The role requires a proven ability to manage tight schedules, learn software quickly, and handle confidential data with discretion. The Office Administrator will be committed to delivering high-quality clerical support and maintaining a highly productive office environment. The role involves handling WinLIM’s Lab Inventory System in conjunction with the site EHS Coordinator to complete Raw Material Risk Assessments, load new raw materials into the system, and create ad hoc reports.

Requirements

  • High school diploma or equivalent qualification.
  • Minimum of 1–2 years of experience in an administrative, clerical, or office management role.
  • Strong hands-on knowledge of Microsoft Office Suite (Word, Excel, Outlook) and cloud-based file management systems.
  • Superb written and verbal communication skills for professional client interaction.
  • Exceptional time management skills with a proven ability to prioritize tasks under pressure.

Responsibilities

  • Manage EtQ (Excellence through Quality) database including monitoring and follow-up on responses, maintaining the analytical lab information system database, uploading Quality System Instructions and other Quality System documents, arranging training, adding and removing users, arranging access, providing user support, and creating ad hoc reports.
  • Provide support for the Global Project Management System including adding and removing users, arranging SAP access, distributing training materials, and serving as the first point of contact for operational issues.
  • Process invoices including routine payments, check requests, and non-PO invoices.
  • Provide Ariba/SAP support including purchasing lab supplies and chemicals, handling vendor creation, and updating vendor information.
  • Serve as a business liaison between vendors and accounts payable.
  • Conduct monthly analysis and data collection of utility expenses, well water diversion, and working hours, and enter data into ECOTrack.
  • Provide office support including distribution of mail, processing faxes and time sheets, and organizing and arranging food for meetings.
  • Support managers with in-house or off-site events and meetings.
  • Assist with travel planning and emergency changes for senior leaders.
  • Monitor and maintain office supplies inventory.
