About The Position

We are seeking a dependable and organized Office Administrator in Charlotte, NC to support daily office operations, administrative tasks, customer communication, and internal coordination. This role helps keep the office running efficiently by assisting leadership, employees, customers, vendors, and internal departments with professionalism, accuracy, and confidentiality.

Requirements

  • High school diploma or equivalent required.
  • Proficiency with Microsoft Office, office equipment, and general business systems.
  • Strong attention to detail, problem-solving skills, and professional demeanor.
  • Ability to work well with employees, leadership, customers, and vendors.
  • Ability to pass pre-employment screenings such as background and MVR.
  • Prolonged periods of sitting at a desk and working on a computer in a fast-paced office environment.
  • Ability to work effectively in an open-office cubicle setting.
  • Repetitive hand and finger movements, including typing and data entry.
  • Ability to lift, carry, push, and pull at least 25 pounds.
  • Frequent use of phones, computers, keyboards, and other office equipment.
  • Must be able to communicate clearly and professionally in writing, in person, and over the phone.
  • Dependable transportation and reliable on-site attendance required.

Nice To Haves

  • Previous administrative, office support, or customer service experience preferred.
  • Associate’s or Bachelor’s degree in Business Administration or related field preferred.
  • Experience in construction, service, or multi-trade industries preferred.
  • Strong organizational, communication, multitasking, and time management skills.
  • May require extended hours, evenings, weekends, or travel based on business needs.

Responsibilities

  • Answer phones, respond to emails, greet visitors, and provide professional customer service.
  • Maintain office files, records, reports, correspondence, and business documentation.
  • Assist with scheduling, calendars, meetings, appointments, and travel arrangements as needed.
  • Coordinate communication between departments, employees, customers, vendors, and leadership.
  • Prepare reports, spreadsheets, purchase requests, invoices, and other business documents.
  • Maintain office supply inventory and coordinate supply orders.
  • Assist with onboarding paperwork, employee records, data entry, and general office support.
  • Support administrative projects, operational reporting, and process improvement efforts.
  • Maintain confidentiality of company, employee, and customer information.
  • Perform other duties as assigned.
