About The Position

We are seeking a highly organized, professional, and motivated Office Administrator to join our team at our Calgary office. This role is the first point of contact for visitors and callers, and plays a key part in keeping the office running smoothly. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced environment supporting multiple departments. This is a part-time position; ideally 4 hours/day, 20 hours/week. Daily hours are negotiable but should be between 8:30 am and 5:00 pm.

Requirements

  • Completion of High School or equivalent.
  • Proficiency in Microsoft 365 (Word, Excel, Outlook, Teams, PowerPoint)
  • Strong computer skills and the ability to learn new software quickly
  • Excellent written and verbal English communication skills
  • High level of attention to detail, accuracy and organization
  • Ability to prioritize, multitask and meet deadlines in a busy environment while ensuring high standards of accuracy
  • Strong proofreading and editing skills
  • Positive, respectful attitude with excellent customer service skills
  • Ability to work independently and as part of a team
  • Demonstrated reliability, punctuality, and strong work ethic
  • Ability to follow instructions provided by Managers or other senior members of staff
  • Willingness to assist operations and technical team to resolve problems and learn how to follow company procedures
  • Fast learner with a desire for professional and personal growth
  • Confidence working with diverse personalities and managing multiple tasks
  • Strong self-starter with a proven record of being able to work efficiently with little direct supervision
  • Willingness to undergo personnel security screening (similar to a criminal record check)

Nice To Haves

  • Post-secondary education in office Administration, Office Management, or related fields is an asset.
  • Any previous experience in construction or engineering, or architectural offices is an asset.
  • Holding a valid driver’s license is an asset

Responsibilities

  • Greet and assist visitors in a friendly, professional manner
  • Accept, organize, and/or packages, mail, and courier deliveries
  • Route incoming phone calls and direct inquiries to appropriate departments
  • Maintain general office organization and cleanliness
  • Monitor and order office supplies, stationery, and kitchen inventory
  • Keep office common areas and meeting rooms tidy; set up meetings and events
  • Maintain accurate document filing systems
  • Perform scanning, photocopying, binding, laminating, and other administrative tasks
  • Maintain and track office equipment inventory, supply orders, and scheduling maintenance
  • Review and coordinate office procedures to ensure compliance with company policies
  • Support staff with document formatting to company standards
  • Support staff with permits, schedules, drawings, letters, reports, proposals, and other materials
  • Provide backup support to other administrative staff as needed
  • Organize office events, group lunches, and clean-ups
  • Track equipment sign-out and returns
  • Prepare and order supplies for inventory and various office stations
  • Ensure daily cleanliness and replenishment of the kitchen area
  • Ensure meeting rooms are reset and maintained after use
  • Assist with lifting, moving, assembling, and disassembling office furniture as needed
  • Assist technical and operations staff as required
  • Complete ad hoc tasks assigned by management
  • Provide exceptional customer service and maintain professional reception standards
  • Maintain an overall clean, organized, and professional office environment
