About The Position

Family Haven is a local nonprofit dedicated to building a community of happy, healthy individuals and families through the prevention and treatment of child abuse and trauma. With locations in Orem and Lehi, we provide a range of family support programs designed to strengthen relationships and promote long-term well-being. Our Lehi location is the newest addition to Family Haven, and it's just getting started. As we get the space fully up and running and grow our programming to meet the community's needs, we're looking for someone who can be the steady, welcoming presence in our Lehi office every Tuesday and Thursday, there from open to close, helping shape this space from the ground up. The Office Administrator is the primary point of contact for the office, keeping the space running smoothly, welcoming clients and visitors, and supporting new employees through their first day on-site. As the main on-site administrative staff member, this person handles front-desk coverage personally throughout open hours, in addition to day-to-day facilities and operational tasks.

Requirements

  • Strong organizational skills and comfort managing a variety of tasks throughout the day
  • Warm, professional demeanor with clients and visitors
  • Comfortable working independently with minimal on-site backup
  • Ability to exercise good judgment and handle confidential information with discretion

Nice To Haves

  • Prior office administration or front-desk experience preferred

Responsibilities

  • Greet and welcome clients and visitors; assist walk-ins and direct clients around the building as needed.
  • Answer phones and check clients in for appointments.
  • Assist with nursery transitions, ensuring children are checked in and out.
  • Administer nursery survey at every check out.
  • Serve as the on-site point of contact for site needs including picking up mail, restocking supplies and snacks, quality checking snow removal and janitorial work, and seasonal lobby decorating.
  • Contact the Facilities Manager to report and follow up on facilities issues as needed.
  • Welcome new hires, lead basic orientation, provide equipment, and show new hires their workspace.
  • Assist with client rescheduling and cancellations, following up with clients to fill openings.
