About The Position

Cipher Tech Solutions, Inc. (Cipher Tech) is seeking an office administrator responsible for ensuring our offices run smoothly. Day-to-day work will vary depending on company and office staff needs. At times, this position may require moderate lifting and/or moving heavy items around or between suites. The ideal person for this role will hit the ground running, taking initiative and responsibility when they see tasks that need attention. This person will be highly proficient in Microsoft Office suite with strong computer skills and will simultaneously keep files updated for all members of the team. This position is perfect for someone who is re-entering the workforce and/or has availability during school day. Cipher Tech takes great pride in supporting mission-critical work in the Department of Defense and the Intelligence Community, primarily through software development for digital forensics and malware reverse engineering. Digital forensics involves extracting and processing evidence from various digital media to support law enforcement, counterintelligence, and counter-terrorism. Malware reverse engineering focuses on analyzing malicious code to understand its functionality, infection methods, data exfiltration, communication with authors, and potential attribution.

Requirements

  • Must be a U.S. citizen who is willing and eligible to be sponsored for a U.S. government security clearance.
  • Must have one year experience using: MS Office (or Apple iWork, Google Suite), with strong Excel skills (formulas, conditional formatting, functions, etc.)
  • Must have six months experience as administrative, executive, office support, or similar.
  • Strong organization skills; multitasking and detail-oriented

  • Have reliable transportation within a sustainable commute (i.e. 20 minutes) to our office in Vienna. Remote work is not an option.

Responsibilities

  • Be the welcoming face to visitors for our company.
  • Escort visitors, maintenance, cleaning, etc.
  • Unbox, log and track all new in-office inventory of devices, supplies, snacks, swag, etc.
  • Maintain office supply inventory and place new orders/make changes as needed.
  • Work closely with the Purchasing Team, including placing orders, utilizing Purchase Orders, and filing of receipts.
  • Handle weekly lunch orders, invoices, and payments.
  • Coordinate meetings and luncheons for visitors and assist with Happy Hours and Quarterly Events.
  • Tidy and organize the offices, including kitchens, on an ongoing basis.
  • Consolidate all office trash and recycling for collection.
  • Ship packages and/or returns including packaging, generating shipping labels and dropping off packages.
  • Schedule maintenance and work with property management staff.
  • Check and file the mail.
  • Be flexible to assist other Operations staff with tasks as they arise.
