About The Position

TransCanada Turbines (TCT) is seeking an Office Administrator/Receptionist to join their Airdire depot. This role is the first point of contact for visitors, responsible for creating a welcoming, professional, and efficient experience. The position ensures all visitors and stakeholders receive exceptional service and are impressed by the company's responsiveness and professionalism. The role involves a mix of office administration, human resources support, and vendor data administration.

Requirements

  • Minimum two (2) years of related experience, or an equivalent combination of education and experience.
  • Proficient with Microsoft Office (Excel, Word, Outlook, Power Point).
  • Detail oriented, strong organizational skills, prioritization, and time management skills.
  • Ability to work independently and productively.
  • Motivation to multi-task and self-manage workload in a fast-paced environment.
  • Strong communication skills both written and verbal.
  • Excellent interpersonal and communication skills to work with internal and external clients.
  • A willingness and desire to learn the business of TCT.
  • Drive and motivation to multi-task and self-manage in a dynamic, fast-paced environment.
  • The ability to establish and maintain good working relationships with co-workers, supervisors, and other internal personnel.
  • Acute analytical and critical thinking skills.

  • Successful completion of a criminal background check.

Responsibilities

  • Answer all incoming telephone calls and provide information to callers, take messages or transfer calls to appropriate individuals.
  • Greet visitors and handle inquiries or direct them to the appropriate person according to their needs.
  • Manage incoming and outgoing mail, eFax and courier items.
  • Provide administrative support to the HR team by coordinating payment requests and maintaining accurate expense tracking records.
  • Organize the Office team Safety Toolboxes on a bi-weekly basis.
  • Monitor the use of office supplies and maintain adequate levels of inventory.
  • Assist in the planning and preparation of meetings, conferences, and annual training days.
  • Assist with the coordination of company events and employee functions.
  • Perform administrative duties including photocopying, faxing, and filing.
  • Ensure vendor updates provided by Vendor Coordinators are entered into ERP system in a timely manner.
  • Assist Vendor Coordinators, where required, with the initial generation of OEM Purchase Orders for scrap replacement components.
  • Adhere to strict ethical behavior at all times and immediately report any concerns to management.
  • Increase knowledge of the HSE Policy and Manual and maintain a positive attitude towards the health and safety of myself and my coworkers.
  • Take ownership of HSE issues and demonstrate enthusiasm and support for HSE.
