About The Position

Responsible for performing a variety of general administrative and office operations support activities. This role involves managing schedules, ensuring compliance with regulations, problem-solving, maintaining driver relationships, and monitoring operational efficiency. The position may also include serving as an office receptionist, preparing correspondence, performing data entry, handling mail, managing office supplies, arranging meetings, and ensuring safety procedures are followed.

Requirements

  • High school diploma or General Education Degree (GED) and one (1) year administrative or related experience; or an equivalent combination of education and experience.
  • Strong communication and organizational skills
  • Knowledge of logistics, transportation regulations, and HOS rules
  • Ability to multitask and make quick decisions under pressure
  • Familiarity with dispatch software, GPS, and load boards
  • Customer service skills
  • Good verbal and written communication skills
  • Ability to apply common sense understanding to carry out written or oral instructions
  • Proficiency in Microsoft Office Suite

Nice To Haves

  • Experience in trucking, logistics, or customer service is often preferred.

Responsibilities

  • Dispatching drivers' routes and schedules using load boards and dispatch software.
  • Optimizing routes to meet delivery deadlines, reduce fuel costs, and minimize idle time.
  • Monitoring drivers’ logs, Hours of Service (HOS), and transportation regulations for legal compliance.
  • Preparing dispatch documents, invoices, and maintaining records of routes, deliveries, and pickups.
  • Handling unexpected issues such as traffic delays, mechanical problems, or customer changes.
  • Providing guidance, support, and solutions to keep drivers on schedule and maintain customer satisfaction.
  • Communicating clearly with drivers, advocating for them when necessary, and coordinating home time requests.
  • Tracking truck maintenance schedules, monitoring en route progress, and logging customer shipping schedules.
  • Addressing customer complaints.
  • Reporting to operations or dispatch managers to ensure smooth workflow and operational efficiency.
  • Serving as office receptionist, greeting visitors, and ensuring office security.
  • Preparing routine correspondence, office forms, and other business-related documents.
  • Performing data entry and retrieval functions.
  • Handling incoming and outgoing mail and interoffice communications.
  • Managing office supply inventory and replenishment.
  • Arranging meetings and conferences, maintaining calendars, and making travel reservations.
  • Observing all safety procedures and practices to prevent injury.
  • Recommending changes to improve safety procedures.
