About The Position

This position is responsible for providing essential support to the accounting department by performing clerical duties and maintaining accurate financial records. This position plays a crucial role in ensuring the organization's day-to-day financial operations run smoothly and efficiently. In addition, duties include answering and transferring phone calls to employees, sorting and delivering mail to employees and greeting visitors while delivering exceptional customer service assistance and providing an overall welcoming environment

Requirements

  • Associate in accounting (AA) and a minimum of five (1) year of experience in accounting, preferably in the printing, manufacturing, or graphic arts industry; or an equivalent combination of education, training, and/or experience.
  • Strong attention to detail and accuracy.
  • Proficiency with accounting software and Microsoft Office suite.
  • Excellent organizational and time management skills.
  • Effective communication and problem-solving abilities.
  • Familiarity with basic accounting principles and practices.
  • Excellent customer service skills with a genuinely friendly and helpful demeanor.

Responsibilities

  • Screens calls and take messages.
  • Helps clients if they have any questions, redirecting to CSR or sales or need copies of their invoices.
  • Organizes files for filing, customer, and client records. (AR, AP, General, etc.)
  • Welcomes and greets visitors in a warm and friendly manner and answer any questions visitors have.
  • Directs and assists with visitor sign in and badging procedure.
  • Answers and directs inbound phone calls to the correct person or department.
  • Maintains and stocks the reception area in a clean and tidy manner.
  • Operates standard office equipment on a regular basis, including a fax machine, copy machine, postage machine and a computer.
  • Processes outgoing mail; maintains postage machine maintenance and USPS purchasing.
  • Receives deliveries; sort and distribute incoming mail.
  • Assists with special projects or tasks related to accounting team as needed.
  • Provides backup support for other accounting functions as required.
  • Adheres to company policies and procedures.
  • Accomplishes her tasks as assigned by supervisor(s).
  • AP – Forward remittances to vendors.
  • Go over AP vendors statements.
  • Postage Invoicing
