Bob Smith Plumbing is seeking an energetic, accountable, and hospitable Office Administrative Assistant to be the first point of contact for customers and the backbone of daily office operations. This role is crucial in supporting the operations team and ensuring a warm, professional customer experience.   • Experience with Florida permitting processes is a strong plus but not required

Responsibilities

  • Serve as the first point of contact for customers — by phone, email, and in person — delivering a hospitality-first experience that reflects our brand standard
  • Handle inbound and outbound calls with professionalism, warmth, and urgency — scheduling, dispatching, and following up as needed
  • Support the operations team with administrative tasks including filing, document management, data entry, and record keeping
  • Assist with the permitting process for plumbing projects, including organizing documentation, submitting applications, and tracking permit status with local Florida municipalities
  • Coordinate communication between office staff and field technicians to keep jobs moving and customers informed
  • Manage scheduling and calendar coordination to ensure efficient job flow
  • Maintain a clean, organized, and professional office environment
  • Provide flexible support to administrators and leadership as business needs evolve
