Join our team as an Office Administrative Assistant and play a key role to provide critical administrative and clerical support, ensuring seamless coordination between our clinical staff, field clinicians, patients and external healthcare partners. The ideal candidate is exceptionally organized, detail oriented, comfortable handling sensitive health information, and dedicated to maintaining high standards of compliance and efficiency. Requirements

  • 1–2 years of administrative or clerical experience, preferably in home health, hospice, or a medical office.
  • High school diploma or equivalent required; Associate's degree or administrative certification preferred.
  • Knowledge of HIPAA regulations and patient confidentiality requirements.
  • Proficiency with Microsoft Office, office equipment, and familiarity with EHR systems.
  • Excellent organizational, communication, multitasking, and teamwork skills.
  • Ability to sit or stand for extended periods.
  • Frequent use of computers and office equipment.
  • Ability to occasionally lift and move boxes weighing up to 25 pounds.

Nice To Haves

  • Associate's degree or administrative certification preferred.

Responsibilities

  • Maintain, organize, and securely manage patient medical records in compliance with HIPAA.
  • Process, scan, index, and verify clinical documentation in the Electronic Health Record (EHR) system.
  • Handle authorized medical records requests according to agency policies.
  • Manage medical and office supply inventory, coordinate clinician supply requests, and receive shipments.
  • Oversee high-volume faxing, physician order routing, and document distribution.
  • Answer multi-line phones, greet visitors, and direct inquiries appropriately.
  • Perform data entry, update patient information, and assist with scheduling and tracking logs.
  • Maintain an organized, professional office environment.
