About The Position

Our retail client in Buffalo, NY, is seeking an Office Administrative Assistant to join their team! This is an on-site/part-time or full-time/direct-hire position. As the Office Administrative Assistant, you will be the welcoming face of our organization and a key support partner across daily office operations. This role is ideal for someone who enjoys helping people, staying organized, and keeping an office running smoothly. While you will assist with some basic accounting tasks, no prior accounting experience is required - we're happy to train the right person.

Requirements

  • Prior administrative or front desk experience preferred.
  • Strong customer service skills and a friendly, professional demeanor.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Strong organizational skills with the ability to multitask in a busy office environment.
  • Excellent communication and interpersonal skills.
  • Close attention to detail and reliability.
  • Applicants must be authorized to work in the U.S.

Responsibilities

  • Greet visitors warmly, answer incoming calls, and direct inquiries to the appropriate team members.
  • Manage the front desk to ensure a professional, organized, and welcoming environment.
  • Handle incoming/outgoing mail, packages, and general office correspondence.
  • Support customer inquiries by providing friendly, accurate information.
  • Maintain office supplies, place orders, and coordinate with vendors as needed.
  • Prepare documents, forms, and basic reports for internal use.
  • Assist management with scheduling, filing, data entry, and general administrative tasks.
  • Support special projects and cross‑department needs as assigned.
  • Assist with AP/AR entry, such as entering invoices or payments into the system.
  • Prepare simple bank deposits and record checks received.
  • Help with customer billing by generating monthly statements or updating account information.
