About The Position

The Occupational Therapy (OT) Coordinator serves as the primary liaison between therapists, physician care teams, and clinic staff to ensure efficient patient care and exceptional service. This role combines administrative support, scheduling, patient communication, and operational coordination for the Occupational Therapy department. The OT Coordinator assists with patient care processes, patient scheduling, supply ordering, and departmental projects to support growth and quality outcomes. Twin Cities Orthopedics is an operating division of Infinite Health Collaborative (i-Health), a group of local medical practices, owned and led by its physicians, on a mission to give patients more control over their healthcare.

Requirements

  • High School diploma/GED required
  • 1-2 years of Customer service experience required
  • Proficiency with Microsoft Office products.
  • Familiarity with health plan requirements and networks.
  • Ability to comply with company policies, procedures, practices, and business ethics guidelines.
  • Ability to comply with all applicable laws and regulations, (e.g. HIPAA, Stark, OSHA, employment laws, etc.)
  • Demonstrate prompt and reliable attendance.
  • Work at an efficient and productive pace, handle interruptions appropriately, and meet deadlines.
  • Prioritize workload effectively.
  • Communicate respectfully and professionally in face-to-face, phone and email interactions.
  • Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions.

Nice To Haves

  • Associate degree or higher preferred
  • administrative or medical office experience preferred
  • Knowledge of medical terminology strongly preferred

Responsibilities

  • Schedule and manage patient therapy appointments accurately and on time.
  • Maintain and update therapist schedules to ensure clinics are properly staffed.
  • Communicate promptly with patients, families, and providers about appointments and care details.
  • Verify insurance information and obtain referrals and authorizations as needed.
  • Coordinate and organize patient records and related documentation.
  • Monitor and manage departmental worklists to ensure timely follow-up on tasks.
  • Assist in the quarterly inventory process.
  • Order and maintain therapy supplies and equipment function for therapy clinic readiness.
  • Assist with onboarding/educating new staff and supporting clinic openings.
  • Travel between clinics as needed to provide operational support.
