Vesta Management is seeking to hire an affordable housing experienced, results-driven, customer service-focused Occupancy Specialist to support operations at Squire Village in Manchester, CT. The ideal candidate will have experience with affordable housing programs such as LIHTC and Section 8, takes pride in their work, and genuinely cares about creating a positive experience for our residents. Requirements

  • High school diploma or equivalent.
  • 2 years of related experience in a property management or apartment leasing office.
  • Experience with site-based affordable housing programs strongly preferred, specifically HUD and Section 8.
  • COS Certified Occupancy Specialist and/or CPO Certified Professional of Occupancy certification strongly preferred.
  • Experience with Yardi strongly preferred.
  • Successful completion of a background check and drug screen required.
  • Valid Driver's License and clean driving record required.

Responsibilities

  • Achieve maximum occupancy at the property through various activities, including interacting with current and prospective residents.
  • Manage applications, move-ins, and lease renewals, including annual and interim re-qualifications according to program guidelines.
  • Foster positive relationships with residents, communities, and associated agencies.
  • Maintain a clean and professional reception area.
  • Assist management with administrative tasks such as handling phones, faxes, filing, typing, mailings, and processing rental payments.
  • Maintain accurate records of resident transactions and issue receipts.
  • Review TRACS (Tenant Rental Assistance Certification System) transmission readiness.
  • Answer and direct incoming calls, ensuring proper follow-up when team members are unavailable.
  • Address resident concerns and requests in a timely manner.
  • Greet prospective residents and visitors, introduce the property, and explain its benefits.
  • Coordinate leasing by interviewing prospective residents, assessing their needs and qualifications, and securing completed applications.
  • Enter prospective resident information into the property data system.
  • Schedule application intakes, interviews, and processing.
  • Accompany prospective residents to apartments, discussing features, lease terms, and available facilities.
  • Qualify prospective residents based on property program requirements and the tenant selection plan.
  • Maintain a healthy applicant waiting list to ensure future occupancy maximization.
  • Calculate rent based on property programs, procedures, or rent schedules.
  • Complete lease forms and documents, and collect deposits and initial rent.
  • Conduct marketing outreach to neighborhood groups, local employers, and community organizations to generate leads.
  • Conduct marketing surveys and review traffic reports, sharing trends with the Property Manager.
  • Assist with and attend resident retention initiatives.
  • Assist with property-issued communications and notices.
  • Prepare and execute lease renewals, and process interim and annual recertifications.
  • Secure all required applicant and resident signatures for administrative processes.
  • Maintain accurate records of resident transactions and certifications, processing them in a timely manner.
  • Notify management of necessary legal action for resident non-payment or non-compliance.
  • Process information in property management software regularly, including work orders, certifications, and deposits.
  • Maintain documentation and filing systems in accordance with Vesta’s SOP.
  • Ensure apartments, models, and community aspects meet Vesta quality standards before showing.
  • Report any maintenance or physical property needs to the Property Manager and/or Maintenance personnel.
  • Input work orders and service requests into the property data system and communicate them to maintenance.
  • Assist in achieving property financial goals.
  • Consistently maintain property rules and regulations in accordance with property programs, Vesta’s SOP, and all applicable laws.
  • Preserve and respect resident, applicant, employee, and company confidentiality.
  • Perform other duties as assigned by management.
