About The Position

Vesta Management is seeking to hire an experienced, customer service focused, results driven Occupancy Specialist to support operations at Squire Village in Manchester, CT. This role is crucial for achieving maximum occupancy at the property by managing all activities related to resident interactions, applications, move-ins, lease renewals, and annual/interim re-qualifications in accordance with affordable housing program guidelines (LIHTC and Section 8). The ideal candidate will have a proven track record with these programs, excellent attention to detail, and a passion for customer service. TSC and/or COS certifications are strongly preferred.

Requirements

  • High school diploma or equivalent.
  • 2 years of related experience in property management or an apartment leasing office.
  • Experience with site-based affordable housing programs, specifically HUD and Section 8, strongly preferred.
  • COS Certified Occupancy Specialist and/or CPO Certified Professional of Occupancy certification strongly preferred.
  • Experience with Yardi strongly preferred.
  • Successful completion of a background check and drug screen.
  • Valid Driver's License and clean driving record.

Nice To Haves

Responsibilities

  • Achieve maximum occupancy at the property through effective resident interaction and management of leasing processes.
  • Manage all activities related to applications, move-ins, and lease renewals.
  • Re-qualify applicants annually and on an interim basis in accordance with program guidelines.
  • Foster positive relationships with residents, communities, and associated agencies.
  • Maintain a clean and professional reception area.
  • Assist management with administrative tasks including phones, faxes, filing, typing, mailings, and rental payment processing.
  • Maintain accurate records of resident transactions and issue receipts.
  • Review TRACS (Tenant Rental Assistance Certification System) transmission readiness.
  • Answer and direct incoming calls, ensuring proper follow-up.
  • Address resident concerns and requests in a timely manner.
  • Greet prospective residents and visitors, conveying property benefits.
  • Coordinate leasing by interviewing prospective residents, assessing needs, and securing applications.
  • Enter prospective resident information into the property data system.
  • Schedule application intakes, interviews, and processing.
  • Accompany prospective residents to apartments, discussing features and lease terms.
  • Qualify prospective residents based on program requirements and tenant selection plans.
  • Maintain a healthy applicant waiting list to ensure future occupancy maximization.
  • Calculate rent based on property programs or rent schedules.
  • Complete lease forms and collect deposits and initial rent.
  • Conduct marketing outreach to neighborhood groups, local employers, and community organizations.
  • Conduct marketing surveys and review traffic reports, sharing trends with the Property Manager.
  • Assist with and attend resident retention initiatives.
  • Assist with property-issued communications and notices.
  • Gather, prepare, and execute lease renewals and process interim/annual recertifications.
  • Secure all required applicant and resident signatures for administrative processes.
  • Maintain accurate records of resident transactions and process them timely.
  • Notify management of necessary legal action for resident non-payment or non-compliance.
  • Process information in property management software regularly.
  • Maintain documentation and filing systems in accordance with Vesta’s SOP.
  • Ensure apartments, models, and community aspects meet Vesta quality standards before showing.
  • Report maintenance or physical property needs to the Property Manager and/or Maintenance personnel.
  • Input work orders and service requests into the property data system and communicate with maintenance.
  • Assist in achieving property financial goals.
  • Consistently maintain property rules and regulations.
  • Preserve and respect resident, applicant, employee, and company confidentiality.
  • Perform other duties as assigned by management.
