About The Position

This position supports the Nursing Services department by coordinating the purchasing, inventory, distribution, and maintenance of medical supplies and equipment necessary for the delivery of quality resident care. The role ensures nursing staff have timely access to the supplies and equipment needed to provide safe, efficient, and compliant care while maintaining inventory, coordinating vendor relationships, and overseeing equipment maintenance. The position promotes operational efficiency and regulatory compliance through effective organization, fiscal responsibility, and collaboration with nursing leadership and other departments.

Requirements

  • High school graduate or General Education Degree (GED) required.

  • Previous experience in a healthcare, long-term care, or medical office setting is preferred.

Responsibilities

  • Coordinate the purchasing, receiving, storage, and distribution of medical, nursing, and departmental supplies to ensure adequate inventory levels throughout the facility
  • Coordinate nursing equipment invoices for Accounts Payable
  • Maintain all nursing equipment according to manufacturer, state, and federal standards
  • Coordinate capital equipment requests, gather vendor quotes, and prepare recommendations for Director of Nursing review
  • Oversee the setup, implementation, maintenance, and troubleshooting of designated clinical technology and monitoring systems
  • Coordinate and support scheduled ancillary clinical services by assisting healthcare providers with resident access and identification
  • Serve on the appropriate committees required by the State and Federal Codes
  • Maintain inventory records, monitor supply usage, rotate stock, remove expired items, and assist with annual inventory counts
  • Research products, obtain pricing and quotes, communicate with vendors, resolve order discrepancies, and monitor back-orders to ensure timely delivery of supplies
  • Receive, inspect, unpack, label, and organize incoming shipments while maintaining accurate purchasing and inventory documentation
  • Coordinate equipment repairs, preventive maintenance, and replacement as needed
  • Deliver medical supplies, equipment, laboratory specimens, medical records, and other materials throughout the facility
  • Maintain organization and cleanliness of central supply rooms, nursing storage areas, and equipment rooms
  • Maintain Safety Data Sheets (SDS) and assist with chemical inventory management as assigned
  • Supports the Mission, Vision, and values of Woodside Senior Communities
  • Observes care in ensuring the confidentiality of all data, including resident, employee, and operations data as required by HIPAA/HITECH regulations
  • Abides by all applicable statutes and regulations through compliance with the Woodside Corporate Compliance and Ethics Program
  • Completes requirements for in-service training
