About The Position

We have an exciting opportunity to join our team as a Nurse Coordinator. In this role, the successful candidate The Nurse Coordinator will primarily focus on supporting clinical communication and coordination between patients and clinical teams while responsible for the coordination, oversight, and optimization of scheduling across multiple sites. This position will work closely with the practice physicians, APPs, perioperative leadership, surgeons, anesthesia, and administrative staff to ensure efficient use of operating room resources, reduce scheduling conflicts, and improve patient throughput. This includes, but is not limited to, patient screening and clinical intake, following up on testing coordination and results, appointment scheduling, replying to patient advice requests and questions and ensuring patients are receiving timely and clear responses throughout their care episodes. The position collaborates with internal and external providers, as well as other NYULMC staff and partners to help achieve high patient satisfaction for patients/families. The Nurse Coordinator plays a key role in block schedule management, data reporting, and communication of surgical scheduling policies and changes.

Requirements

  • Licensure as a Professional Registered Nurse in NYS with current registration.
  • BSN or graduate of an accredited RN program with Bachelors degree in related health care field.
  • Relevant clinical experience in ambulatory care, managed care or acute medical-surgical experience in the care of the population targeted for care coordination.
  • Fluent and strong written and spoken English language skills necessary.
  • Possesses demonstrated strengths in interpersonal communication, customer service, negotiation, conflict management, creative problem solving, clinical leadership, change management, work process organization and time management.
  • Able to apply critical thinking and clinical expertise toward achievement of specific outcomes.
  • Previously established ability to foster strong collaboration with co-workers, peers, physicians, nursing, and ancillary departmental support staff.
  • Working knowledge of Microsoft Office (Outlook, Word, Excel and PowerPoint) and demonstrated proficiency in managing an electronic medical record such as Epic or a care/case management system.
  • Qualified candidates must be able to effectively communicate with all levels of the organization.

Nice To Haves

  • Membership in pertinent professional organization is preferred.
  • Two or more years in ambulatory, health plan, or home health setting or ambulatory setting care/case management experience.
  • Membership in care/case management and/or related professional organization.
  • Certification in Case Management, American Board of Quality Assurance and Utilization Review Physicians, Inc. (ABQAURP) or Certified Professional Healthcare Quality (CPHQ).
  • Epic proficiency.
  • Masters of Science in Nursing or relevant health related field.
  • Experience in perioperative nursing or surgical services

Responsibilities

  • Partners with practice clinicians and staff to ensure high quality patient communication and consistent patient satisfaction
  • Other duties as assigned.
  • Act as a professional role model to all levels of staff by considering the needs and behaviors of specific patients in a culturally competent manner and incorporating expertise, critical thinking and related experience in care of patients and families.
  • Assist with orienting and training team members (New hires/interdepartmental initiatives) as requested.
  • Provides for educational needs of self, patients, and administrative staff. Participates in development and upgrading of patient/family education materials and programs relevant to expertise and practice
  • Participates in quality improvement programs and activities that promote patient, family/caregiver, physician and staff satisfaction.
  • Acquires and maintains current clinical knowledge and competence to fulfill responsibilities.
  • Interact with clinical and administrative positions in a variety of roles including practice staff and physicians, clinicians outside of the practice or NYU, health plans, etc.
  • Adheres to department and FGP policies and procedures
  • Uses and documents in the Epic electronic medical record regarding communication and care coordination activities. Organizes and presents pertinent (both normal and abnormal) data in a manner meaningful to physician for his/her medical diagnosis and treatment.
  • Participates in coordination of practice activities to provide patient care in a healing, humane and caring environment.
  • Partner with all surgical divisions within the department of surgery to support a centralized scheduling model in alignment with perioperative central scheduling goals
  • Maintain and coordinate the master OR block schedule, including allocation, reallocation, and release of block time in alignment with utilization metrics across sites (e.g., Main Campus, Cobble Hill)
  • Assess case types to determine appropriate site placement based on clinical criteria, resources, and ambulatory eligibility to maximize scheduling efficiency.
  • Allocate OR time to surgical departments and individual surgeons based on historical utilization, case volume, and strategic priorities
  • Monitor block utilization and identify opportunities for improvement or reallocation
  • Proactively identify and backfill unused OR time to maximize utilization by working with all divisions in the department.
  • Daily surveillance of Epic Snap board Periop OR schedules and proactively identify scheduling gaps, conflicts, and opportunities
  • Monitor case lead times and proactively work with providers and schedulers to ensure timely OR bookings, with the goal of reducing patient wait times and optimizing OR access.
  • Serve as a liaison between divisional leadership, OR Central Scheduling Nurse Manager, providers, perioperative leadership, anesthesia, and administrative staff, including Surgical Scheduling Coordinators, Medical Secretaries, and OR Schedulers
  • Facilitate communication regarding schedule changes, open time, and urgent/emergent case needs
  • Partner with physician practices to support accurate case entry and scheduling; provide re-education as needed
  • Coordinate efforts to expedite surgical scheduling by facilitating preoperative clearances, insurance authorizations, and timely case entry.
  • Participates in OR governance or utilization committees
  • Included in onboarding of new surgeons to find appropriate OR block time prior to start date
  • Establish and reinforce clear and standardized expectations and communication with patients in the preoperative phase to support preparedness, facilitate timely clearances, minimize last-minute scheduling issues, and promote positive patient experiences.
  • Analyze OR utilization data, including robotic utilization and outpatient and inpatient case volumes, to support decision-making
  • Generate reports on block usage, out of block utilization, cancellations, delays, and efficiency metrics
  • Recommends scheduling adjustments based on trends and performance indicators
  • Provide insights and recommendations to leadership based on trends in utilization and capacity
  • Ensure scheduling practices comply with hospital policies, accreditation standards, and patient safety protocols
  • Support initiatives to reduce surgical delays and improve patient throughput
  • Apply clinical knowledge to assess the complexity and resource needs of surgical cases
  • Collaborates with perioperative teams to ensure readiness and appropriate case sequencing
  • Assesses case types to ensure maximum scheduling under providers individual OR block session
