About The Position

The Non-Surgical Clinical Assistant provides assistance to the Physician and Physician's Assistant with daily administrative and clinical duties. This role is crucial for increasing patient satisfaction, ensuring compliance with schedule preparation, managing voicemails, accurate end-of-day batching, timely stamping, adherence to clinical policies and procedures, minimizing wait times, and ensuring accuracy with pre-certifications and authorizations.

Requirements

  • High school diploma or GED minimum education requirement.
  • Must be a CCMA, CRMA, EMT, LPN, or ATC.
  • Professional license/certification must be active and valid.
  • Knowledge of medical office procedures and medical terminology.
  • Computer skills including, but not limited to, MS Office Suite.
  • Experience with EMR system(s) preferred.

Responsibilities

  • Greets patients in the waiting room and escorts them to the exam room.
  • Directs patient to surgery scheduling and/or front desk for checkout.
  • Maintains order, cleanliness, and inventory in the exam room, and prepares exam room for patients.
  • Cleans and autoclaves instruments.
  • Provides and scans proper paperwork to the chart for Physician's review.
  • Records vitals as per Physician's request.
  • Prepares injections for the Physician.
  • Pulls up x-rays, MRI's, CT's, and various studies pertaining to the patient's exam.
  • Assists patient with clothing when necessary.
  • Disposes of bio hazardous waste and sharps according to OSHA regulation, and replaces sharps containers.
  • Answers telephones in patient areas and provides voicemail coverage for Physician.
  • Requests reports for various facilities for Physicians.
  • Empties and restocks laundry.
  • Scans appointment tracking to identify when patients are ready to be seen by the Physician and directs Physician in patient appointment order.
  • Reviews Physician schedules for chart preparation including ensuring operative reports, dictations, and studies are present in the chart.
  • Completes pre-certifications for MRI's and other Physician orders as necessary.
  • Sends Visco Injection authorization request to supplement pre-certification representative.
  • Scans information into patient record (including all Physician orders, prescriptions, etc. on the date of service).
  • Covers other areas in the office when not assigned to a Physician.
  • Covers Provider jellybeans and voicemail as needed/requested.
  • Attends required meetings and participates on committees as requested.
  • Responsible for the development, and quarterly update, of physician protocols for: office hours, medication draws, patient education, voice mail/jelly beans and clinical protocols.
  • Reads and responds to email communications within appropriate time frame.
  • Identifies weekly schedule, including schedule changes, published by manager.
  • Handles specimens (including urine, blood and drainage from incisions, aspirated fluids, etc.) and labels accordingly.
  • Follows order instructions of provider to ensure specimen is sent to appropriate lab for analysis.
