About The Position

The Night Audit position is responsible for recording, processing, and analyzing the day's closing figures. This role ensures all required reports are completed and that daily credit transactions are in balance. Additionally, the Night Auditor attends to guest needs, including registration, checkout, cashiering, and making wake-up calls. This position acts as the Manager on Duty during night hours, greeting guests, performing check-in and check-out procedures, and handling payments. The role involves maintaining a house bank, making deposits, cashing checks, and accurately balancing a cash drawer. The Night Auditor also manages guest bookings, handles inquiries and requests professionally, and performs all daily audit procedures as set by the hotel and company. This includes completing various reports, balancing cash receipts, preparing the front office for the morning shift, and maintaining nightly reports for management. The position also serves as the PBX operator, transmitting and receiving messages, and ensuring timely wake-up calls. The Night Auditor must be able to assist guests and emergency personnel during emergencies, post charges, and make reservations. They review arrival reports, check special request reservations, and ensure all details are correct. The role requires attending training and meetings, staying informed about hotel promotions and events, and practicing safe work habits. The Night Auditor answers guest inquiries, maintains extensive knowledge of the hotel and its services, and keeps the lobby clean and organized. Other duties may be assigned by management.

Requirements

  • Must be able to speak, read, write, and understand the primary language used in the workplace.
  • Requires good communication skills, verbal, written and electronic.
  • Considerable knowledge of complex mathematical calculations and computer programs.
  • Must have excellent leadership capability and customer relations skills.
  • Must be detail oriented with outstanding organizational and communication skills.

  • Ability to effectively deal with internal and external customers some of whom will require high levels of patience, tact and diplomacy and collect accurate information to resolve conflicts.
  • Knowledgeable about basic function of Windows OS, MS Office, PMS, PBX, Key system and POS.
  • Self-driven and able to work independently.
  • Exceptionally strong in issue resolution and proven analytical skills with a strong attention to detail.
  • High school or equivalent education required.

  • Experience in the hospitality industry preferred.

Responsibilities

  • Acts as the MOD during the night-time hours.
  • Greets and welcomes guests upon arrival.
  • Performs guest registration and check out procedures.
  • Accept payment for guests accounts both at the time of registration and at checkout.
  • Maintain a house bank and make a deposit and accurate reports of receipts daily.
  • Cash checks and exchange currency for guests.
  • Accurately handle cash transactions and balance a cash drawer to the given amount.
  • Acknowledge rewards members and returning guests.
  • Take and manage guest bookings, up-selling opportunities and telling them about ways to improve their stay.
  • Handle cash and credit transactions.
  • Handle all guest inquiries and requests courteously and professionally.
  • Perform all audit procedures daily as set forth by the hotel and company.
  • Complete Daily Report, Comp Reports including F&B as well as Rooms, Pace Reports, and any other reporting that is assigned.
  • Balance all cash receipts and work performed during the audit shift.
  • Make deposits of cash.
  • Prepare the front office for the AM Shift and reset days business.
  • Maintain all nightly reports to inform day hotel management of overnight activities/incidents.
  • Act as PBX operator during the audit shift.
  • Transmits and receives messages using equipment such as telephone, fax, and switchboard.
  • Ensure all wake up calls are made in a timely fashion, properly using guest names.
  • Ability to assist/direct hotel guests and/or emergency personnel in case of an emergency.
  • Post charges such as room, food, liquor, or telephone by hand or machine.
  • Make restaurant, transportation, or entertainment reservations for guests.
  • Review current days arrival reports.
  • Check all special request reservations to ensure that the room is blocked per request, VIPs identified, billing is set up correctly, deposits are taken, and other departments are notified of room assignment.
  • Attend all scheduled training, departmental and hotel meetings.
  • Ensure awareness of special promotions, daily activities, arriving VIPs, Group/Conferences in house, special requests, and scheduled shuttles.
  • Practice safe work habits and ensure safe work practices to avoid injury to self and others.
  • Ensure all privacy and security protocols are followed as well as departmental and company procedures.
  • Answer inquiries pertaining to hotel policies, services, registration, shopping, dining, entertainment, and travel directions.
  • Maintain an extensive knowledge of the hotel, its services, and facilities.
  • Maintain lobby cleanliness and organization.
  • Assist in booking reservations.
  • Assist with handling mail, packages, facsimiles, and guest items.
  • All other duties assigned by manager or supervisor.
  • Assist with any guest inquiry.
  • Follow all company and safety and security policies and procedures.
  • Report maintenance problems, safety hazards, accidents, or injuries.
  • Perform other reasonable job duties as requested by direct and indirect supervisors.
