About The Position

The New Matter Analyst is responsible for reviewing, analyzing, and processing requests for new matters and applications. The position involves frequent liaising and consulting with attorneys, department directors, managers, patent/trademark paralegals, secretaries, billing specialists, system/database administrators, administrative and support staff.

Requirements

  • High school diploma or equivalent required
  • Minimum of three years’ experience in general office work including data entry, records management and related duties required, preferably in a law firm or professional services environment
  • Demonstrated experience in Microsoft Office (PowerPoint, Word and Excel); familiarity with the Internet/Intranet and document management systems
  • Ability to conduct research using the Internet and other electronic resources
  • Experience using Intapp.
  • Experience using MS Teams, Zoom and other virtual event and meeting platforms
  • Strong data entry and word processing skills
  • Detail oriented with good grammatical and proofreading skills
  • Excellent attention to detail
  • Strong organizational and project management skills.
  • Excellent oral and written communication (including spelling and grammar) and interpersonal skills; ability to interact effectively with all levels of firm personnel, and a variety of external entities in a professional manner
  • Must possess superior judgment and discretion and be able to protect and maintain highly confidential information
  • Ability to work under pressure, meet frequent deadlines, and prioritize multiple tasks
  • Ability to deal courteously and efficiently with attorneys, clients, administrative and support staff, and outside vendors and professional peers
  • Self-starter capable of working independently and having the initiative to identify and implement methods for enhancing the department’s internal systems and delivery of services to the firm
  • Ability to work independently and as part of a team
  • Flexible attitude and the ability to deal well with changing assignments and priorities

Nice To Haves

  • Experience with Aderant and/or FileTrail is a plus

Responsibilities

  • Monitors and reviews all requests for new matters submitted directly or bypassing the Conflicts Department for accuracy and completeness.
  • Examines requests relative to practice code, jurisdiction, third parties involved, and billing details such as currency, language, and tax codes among others in keeping with established firm guidelines, policies, and procedures.
  • Adheres to regulations and operations in non-US offices.
  • Evaluates requests for client matter number changes in the Financial Services database consistent with requests coming from clients, partners, attorneys, and other sources.
  • Edits and updates client names, matter titles and descriptions in Aderant and Filetrail
  • Responds to requests for assistance about issues with ChromeRiver, Carpe Diem, Netdocs, FileTrail and other queries for information, by guiding them to the responsible party and department.
  • Performs projects and/or tasks efficiently, including troubleshooting and identifying effective resolutions to ensure successful project completion. Provides status updates for all pending projects.
  • Consults with senior members of the New Matters team and the Conflicts Department to verify that all parties involved in a matter are cleared
  • Coordinates with the Financial Services Department for credit evaluation of identified clients in accordance with fiscal parameters set by the department
  • Other duties as assigned
