About The Position

This position serves as the New Hire Orientation Coordinator for the Department of Children and Family Services (DCFS). The role involves coordinating and managing conference room reservations for New Hire Orientations across all regions, ensuring monthly bookings. The coordinator will develop strategies to meet departmental objectives for New Hire Orientation, monitor and update orientation materials (email templates, presentations, videos, surveys, handouts) to ensure current information, policies, and procedures are reflected. Additionally, the role includes collecting, organizing, and reviewing orientation survey results to assess program effectiveness and identify areas for improvement, as well as coordinating post-orientation follow-up and feedback. Other duties as assigned are also part of the role.

Requirements

  • Knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
  • One year of professional experience in a public or private organization.
  • Ability to pass a background check.

  • 2 years of experience as a secretary or administrative assistant in a public or business organization.
  • 2 years of experience organizing and scheduling meetings in a public or business organization.
  • 2 years of experience monitoring and tracking projects and assignments in a public or business organization.

Responsibilities

  • Serves as New Hire Orientation Coordinator.
  • Coordinates and manages conference room reservations for all New Hire Orientations, ensuring each region has an assigned conference room booked monthly.
  • Develops strategies to facilitate the fulfillment of Department objectives relative to New Hire Orientation.
  • Monitors orientation materials, including email templates, PowerPoint presentations, videos, surveys, and Orientation Handout Booklets to ensure they are reviewed and updated regularly to reflect current information, policies, and procedures.
  • Collects, organizes, and reviews orientation survey results to evaluate program effectiveness and identify opportunities for improvement.
  • Coordinates post-orientation follow up and feedback.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
