About The Position

Performs a variety of clerical duties as needed for the Neighborhood Improvement division and Community Development departments. Works with neighborhoods and community groups to organize clean-up projects and other activities that foster pride amongst residents in various neighborhoods.

Requirements

  • Graduation from high school
  • Two (2) years of responsible experience performing above or related duties
  • Considerable knowledge of modern office practices and procedures
  • Considerable knowledge of grammar, spelling and punctuation
  • Considerable knowledge of modern filing systems related to alphabetical and numeric files
  • Considerable knowledge of personal computer operations and various program applications related to word processing, spreadsheet, and databases, etc.
  • Considerable knowledge of telephone etiquette, various office machines, i.e., ten key, copy machine, fax machine, etc.
  • Skill in the operation of a computer, telephone, typing, and taking and transcribing dictation from handwritten notes or from recording equipment.
  • Ability to interface in a professional manner with the public, fellow employees, and outside agencies/businesses.
  • Must possess a valid Utah Driver's License.

Responsibilities

  • Acts as primary receptionist and contact for the neighborhood improvement division; answers phone and routes calls; takes and relays messages; provides information to inquiring parties; receives and responds to various issues and complaints; composes routine letters, reports, memos, and informative notices; maintains files, records, and documents; schedules appointments for executive and technical staff; assists to coordinate various meetings and activities between divisions, including planning, building, and neighborhood improvement.
  • Prepares clear, concise and comprehensive records and reports related to enforcement activities; maintains a daily log of contacts and inspections; code enforcement cases; enters and retrieves information from record systems; and photographs violations.
  • Responds to questions and concerns from the public, city staff, and other agencies regarding code violations; provides information as appropriate and resolves issues and complaints.
  • Assists the Neighborhood Improvement Coordinator in preparing enforcement cases for an administrative code enforcement hearing; by gathering evidence; sending out letters; sending out hearing orders from the Administrative Law Judge.
  • Records hearing proceedings.
  • Performs other related duties as assigned.
