About The Position

The Facilities Supervisor is responsible for overseeing the day-to-day operations of the corporate headquarters and ensuring the delivery of high-quality workplace services that support employees and business operations. This role provides direct supervision of Facilities administrative and analyst staff while managing workplace operations, vendor performance, facility maintenance activities, purchasing processes, invoice administration, and facility-related projects.

Requirements

  • Bachelors Required
  • 6 - 9 years of direct experience in Finance, Accounting
  • 1 - 3 years supervisory experience
  • Strong knowledge of corporate facilities and workplace operations
  • Experience managing vendors, service providers, and facility maintenance activities
  • Strong purchasing, invoice review, and expense management skills
  • Experience managing purchase orders, contracts, and recurring service agreements
  • Strong organizational and problem-solving skills with the ability to manage multiple priorities
  • Excellent communication and interpersonal skills with the ability to work effectively with employees, vendors, and internal stakeholders
  • Strong leadership skills with the ability to supervise, train, and develop team members
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook
  • Proficiency in Facilities Management Software (CMMS, IWMS, Help Desk Systems)
  • Ability to analyze operational and financial information and prepare reports for management
  • Strong attention to detail and ability to ensure accuracy and compliance with company policies and procedures
  • Experience in corporate workplace, facilities, property, or office operations
  • Experience managing facility improvement, renovation, relocation, or construction projects
  • Experience with space planning, office reconfigurations, and occupancy planning
  • Knowledge of workplace safety, emergency preparedness, and business continuity practices
  • Experience with budgeting, cost control, and financial reporting
  • Experience managing facility-related contracts and vendor relationships
  • Familiarity with facilities management, procurement, or workplace management systems
  • Experience supporting employee engagement, workplace experience, or corporate events
  • Experience developing and implementing operational procedures, service standards, and process improvements
  • Experience managing or supervising administrative, facilities, or workplace operations teams
  • Ability to sit in front of a desk and/or in front of the computer for long periods
  • Must operate desktop, computers, laptop, printer, scanners, shredders, etc.
  • Constant use of hand/grasping product, writing, and typing
  • Sit for 5+ hours per day
  • Stand, walk, bend, stoop, reach over shoulder, kneel, push, pull 1-3 hours per day

Responsibilities

  • Oversee the day-to-day operations of the corporate headquarters and ensure a safe, functional, and professional workplace environment.
  • Manage workplace service requests and employee support activities.
  • Serve as the primary escalation point for facility-related issues and workplace concerns.
  • Ensure conference rooms, common areas, breakrooms, and employee amenities are maintained to company standards.
  • Supervise facility-related purchasing activities and ensure timely processing of invoices and vendor payments.
  • Review and approve invoices for accuracy, supporting documentation, budget compliance, and proper coding prior to payment processing.
  • Track purchase orders, contracts, recurring service agreements, and operating expenditures.
  • Investigate and resolve vendor billing discrepancies, service disputes, and payment inquiries.
  • Maintain expense records and prepare reports to support department budgeting and financial planning.
  • Directly supervise Facilities Administrators and Analysts, providing guidance, prioritization, training, and performance management.
  • Allocate workload among team members to ensure service requests, projects, and recurring operational tasks are completed efficiently.
  • Develop and implement departmental procedures, service standards, and operational best practices.
  • Monitor key operational metrics and identify opportunities to improve efficiency and service delivery.
  • Coordinate office renovations, furniture installations, signage projects, workplace enhancements, and facility upgrades.
  • Track project schedules, budgets, vendor deliverables, and completion milestones.
  • Serve as the Facilities lead for internal stakeholder coordination during office reconfigurations and workplace improvement initiatives.
  • Support construction activities, landlord coordination, punch list management, and project closeout activities.
  • Supervise daily workplace operations and employee support services for the corporate headquarters.
  • Lead and direct Facilities administrative and analyst personnel.
  • Manage vendor relationships, service contracts, and facility maintenance activities.
  • Oversee facility purchasing, invoice review, approval coordination, and vendor payment processes.
  • Coordinate facility repairs, preventative maintenance programs, and operational service requests.
  • Monitor department expenditures and assist with budget planning and cost control initiatives.
  • Ensure compliance with company policies, workplace safety, and other duties as assigned.
