About The Position

The Office of National Fellowships is seeking a Program Coordinator I to support outreach and the coordination of national fellowship and internal award opportunities at Texas A&M University. We are looking for an organized, proactive, and student-centered professional who will play a key role in coordinating campus fellowship competitions, supporting students throughout the application process, maintaining accurate program information and records, and expanding awareness of national fellowship opportunities across the university.
The successful candidate will serve as an important point of contact for students, faculty, campus committee members, and university partners. This individual will coordinate campus review processes, manage application timelines and materials, maintain the Office’s website and fellowship database, support outreach initiatives (including through social media), and conduct advising appointments with students interested in national fellowships.
We are looking for someone who is highly organized and detail-oriented, able to manage multiple deadlines simultaneously, and comfortable working with sensitive student information. The ideal candidate will be able to learn and communicate complex eligibility requirements, application procedures, and fellowship expectations clearly to a variety of audiences. Strong written and verbal communication skills, sound judgment, problem-solving abilities, and proficiency in Excel and Google Forms is essential.
The successful candidate will be comfortable working independently while also collaborating with students, faculty, staff, and campus partners. Experience working in higher education, particularly in academic advising, student development, study abroad, undergraduate research, honors programs, scholarships, fellowships, or academic writing support will be especially valuable.

Requirements

• Bachelor's degree in any field.
• At least two years of experience in academic advising, undergraduate research or honors programs, study abroad, higher education administration, scholarship or fellowship administration, or writing center.
• Ability to work in person in an office environment.
• Ability to work at a computer for extended periods of time.
• Ability to work occasional evening or weekend hours to support events, programs, and application deadlines.
• Ability to work independently and take initiative while also collaborating effectively as part of a team.
• Strong organizational skills and the ability to manage multiple projects, deadlines, and priorities simultaneously.
• Strong attention to detail and the ability to maintain accurate records and application information.
• Strong written and verbal communication skills, with the ability to communicate professionally with students, faculty, staff, and external stakeholders.
• Ability to learn and communicate complex eligibility requirements, application procedures, and program guidelines.
• Strong analytical and problem-solving skills, including experience working with Excel spreadsheet and Google Forms.
• Experience advising students in a professional setting.
• Ability to maintain confidentiality and exercise sound judgment when handling student records, applications, and other sensitive information.
• Ability to coordinate meetings, events, committees, and other activities involving multiple participants and competing schedules

Responsibilities

• Coordinates campus application and review processes for national fellowship and internal award competitions requiring university nomination or campus review.
• Maintains fellowship timelines, coordinating campus deadlines, collecting and organizing application materials, communicating requirements to applicants, recruiting and coordinating campus committee members, scheduling committee meetings and interviews, preparing committee materials and rubrics, distributing applications and supporting documents, tracking committee feedback and decisions, and communicating outcomes and next steps to students and campus partners.
• Maintains accurate records of campus competitions and develops systems and processes to ensure that deadlines, committee requirements, applicant information, and follow-up activities are consistently tracked.
• Supports the development and improvement of campus review procedures and assists with special projects related to the administration of national fellowship competitions.
• Supports the daily operations of the Office of National Fellowships and serves as a central source of administrative support for the program.
• Maintains accurate fellowship information, deadlines, eligibility requirements, application procedures, and program descriptions in the Office’s database and online resources.
• Maintains and updates the Office website and other digital resources to ensure that information is accurate, current, accessible, and presented clearly to students, faculty, and campus partners.
• Maintains student and fellowship records, spreadsheets, tracking systems, and other databases used to administer programs and assess student engagement.
• Assists with data collection, reporting, assessment, and preparation of materials for internal and external audiences.
• Identifies inconsistencies or outdated information and proactively works to correct records and improve information-management processes.
• Provides individual and group advising support to students interested in national fellowships and scholarships.
• Responds to student inquiries, conducts advising appointments, explains fellowship eligibility requirements and application processes, and helps students understand campus and external deadlines.
• Supports students in identifying appropriate fellowship opportunities and navigating application requirements.
• Provides general guidance on application components, timelines, and campus processes while referring students to appropriate faculty, staff, or external resources when specialized assistance is needed.
• Assists with developing and delivering workshops, information sessions, presentations, and other educational programming designed to introduce students to national fellowship opportunities and strengthen their understanding of the application process.
• Supports outreach initiatives designed to increase awareness and participation in national fellowship opportunities across Texas A&M University.
• Collaborates with colleges, departments, academic programs, student organizations, faculty, advisors, and other campus partners to promote fellowship opportunities and identify prospective applicants.
• Assists with planning and implementing information sessions, presentations, workshops, tabling activities, outreach campaigns, and other recruitment initiatives.
• Develops and maintains communications materials, including emails, presentations, handouts, website content, social media content, and other promotional materials.
• Responds to inquiries from students, faculty, staff, and campus partners in a timely and professional manner and helps ensure consistent communication about fellowship opportunities, deadlines, and program procedures.
• Maintains office calendars, files, records, and administrative documentation.
• Assists with event logistics, purchasing, reimbursements, supplies, meeting preparation, and other administrative functions that support the daily operations of the Office of National Fellowships.
• Collects and maintains program participation and outcome data and assists with assessment activities designed to evaluate and improve Office programs and services.
• Participates in team meetings and contributes to the development and improvement of office procedures, resources, and systems.
• Engages in ongoing professional development related to national fellowships, student advising, higher education administration, and other areas relevant to the position.
• Performs other duties as assigned to support the Office of National Fellowships.
