About The Position

Serves as a receptionist for residents, visitors, vendors, and employees entering City Hall. Provides accurate information regarding City services, processes, programs, and departments; assists with service requests; and performs administrative and clerical support duties to ensure efficient front-office operations. Maintains a high level of professionalism and customer service while assisting the public and City staff.

Requirements

  • High school diploma or equivalent.
  • One (1) year of customer service, receptionist, or administrative support experience.
  • Employment is contingent upon successful completion of all applicable pre-employment screenings and verification of eligibility to work in the United States, in accordance with applicable laws, civil service rules, and collective bargaining agreements.

Nice To Haves

  • Experience in municipal or public-sector environments is desirable.
  • Multilingual candidates who can read, write and speak alternate languages proficiently are strongly preferred.

Responsibilities

  • Greets and assists all visitors entering City Hall; maintains a welcoming and professional environment.
  • Provides basic information regarding City departments, services provided and public meetings/schedules.
  • Answers, screens, and routes incoming calls; responds to general inquiries; documents messages for staff.
  • Assists residents with submitting service requests for the Water Service Center, Streets, Blight, and other Public Works divisions.
  • Distributes forms, accepts completed documents, verifies completeness for various departments; routes materials to appropriate departments as required.
  • Issues visitor badges, maintains sign-in logs, and coordinates with Security to ensure appropriate building access.
  • Prepares correspondence, maintains filing systems, processes mail, and supports administrative staff as required.
  • Provides directions and information for City Council meetings, public hearings, and community events for general staff and the public.
  • Maintains logs, databases, and tracking sheets related to inquiries, service requests, and visitor activity.
  • May use multilingual communication skills to help residents access City services and information.
  • Performs other related duties as required.
