About The Position

The Motor Coach Dispatcher & Sales position is responsible for the efficient scheduling and dispatching of motor coach operations while actively generating new business and maintaining client relationships. This role ensures all trips are properly staffed and executed while supporting revenue growth through charter sales and contract development. Requirements

  • High school diploma or equivalent required
  • Prior experience in dispatching, transportation coordination, or a similar role is preferred.
  • Sales or business development experience strongly preferred.
  • Strong organizational and multitasking skills in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Excellent customer service skills.
  • Ability to acquire and maintain a CDL license with S and P endorsements and drive school bus.
  • Proficiency in using dispatch software, GPS tracking systems, and Microsoft Office applications.
  • Ability to multitask and work efficiently under pressure.
  • Strong problem-solving skills and attention to detail.
  • Proficiency in math skills.

  • additional training in transportation management is a plus.

Responsibilities

  • Schedule and dispatch all motor coach trips, ensuring proper driver and equipment assignment.
  • Coordinate with internal locations and partner offices to ensure all trips are fully covered.
  • Monitor daily operations and proactively resolve scheduling conflicts or service issues.
  • Maintain accurate trip records, logs, and dispatch documentation.
  • Assist with school bus charter bookings as needed.
  • Actively seek and secure new motor coach charter business and contracts.
  • Build and maintain relationships with clients, schools, organizations, and corporate accounts.
  • Prepare quotes, proposals, and contracts for charter services.
  • Follow up on leads and maintain a pipeline of prospective customers.
  • Identify opportunities for growth within existing accounts.
  • Ensure accounts receivable remain current by monitoring outstanding balances and following up with clients.
  • Work collaboratively with accounting to resolve billing discrepancies.
  • Support accurate pricing based on current market conditions and operational costs.
  • Stay current on industry trends, including pricing, driver pay structures, and regulatory changes.
  • Ensure dispatch and sales practices comply with all applicable transportation regulations and company policies.
  • Acquire and maintain a CDL license with S and P endorsements.
  • Fill in as a school bus driver when necessary.
  • Perform other duties as assigned.
