Requirements

  • High school diploma or equivalent.
  • At least one year of relevant office or administrative experience supporting a sales team, preferably within the mortgage or real estate industry.
  • Strong communication skills (phone, email, in-person).
  • Intermediate skills in Microsoft Word & Excel.
  • A knack for organization, multitasking, follow-through, and problem-solving.
  • Comfort working independently and collaboratively.
  • A service mindset and professional demeanor.
  • Ability to maintain confidentiality in a sensitive environment.
  • SAFE Act compliance required (guidance will be provided).

Responsibilities

  • Assist with managing the CRM system, including assigning leads, tracking follow-ups, reporting results, and improving conversion rates.
  • Help manage loan pipelines to ensure service level agreements and compliance standards are met.
  • Monitor applications, TBDs, cancellations, and timelines to ensure smooth operations.
  • Process invoices, track expenses, pay bills, and maintain accurate financial records.
  • Create and update reports using Microsoft Word, Excel, and other tools.
  • Provide professional phone and clerical support to members and teammates.
  • Order supplies, manage documents, and assist with special projects.
  • Partner with Leadership and Marketing to create and coordinate mortgage marketing materials.
  • Support business development events, tradeshows, and outreach efforts.
  • Make outbound calls to connect members with home loan opportunities.
  • Help maintain the team’s vision, mission, and roadmap, aligned with the Credit Union’s strategic goals.
  • Identify opportunities to improve processes, making them more efficient and effective.
