About The Position

Under the general direction of the System Director of HIM & Privacy, the HIM Manager provides strategic direction to the HIM department of MMC, and works collaboratively with the System Director to implement strategic level improvement projects, maintain financial performance, regulatory compliance, and achieve employee retention and satisfaction. The Manager also providers leadership to the Health Information Management Department by planning and organizing all aspects of the department. The HIM Manager monitors and coordinates the day-to-day department functions, such as patient record maintenance, transcription, statistical reviews, delinquent records, releases of information, etc. The HIM Manager also oversees employee’s schedules, PTO time and facilitates coverage when absences occur. The HIM Manager assists in the supervision of the department and, in the absence of the Director, assumes all duties of the Director. The Manager promotes high quality cost effective resource management, optimizes department resources, mentors and reviews staff performance. The Manager also provides expertise, problem identification and data collection for quality improvement initiatives. The manager will also serve as backup for the Privacy Officer as needed.

Requirements

Bachelor’s degree in Health Information Management, Business Administration or related degree required. A combination of advanced education and Health Information Management experience may be considered in lieu of bachelor’s degree.
Minimum of three years supervisory experience required.
Proficient in Microsoft applications.
Must have experience in project management.
Five or more years of Health Information Management required.
Have a demonstrated knowledge of regulations, policies and procedures of regulating agencies affiliated with all functions of health information (TJC, HIPAA, IDPH, CMS).
Must possess strong oral and written communication skills, planning skills, problem-solving skills, and change management skills.
Extremely strong skills in personal diplomacy; demonstrates personal traits of a high level of motivation, team orientation, professionalism and trustworthiness.
Must possess sound decision-making ability, operate well under pressure and be tenacious in resolving difficult problems.
Able to facilitate change through team building, processes improvement and multi-disciplinary approach.
Demonstrate ability to work with a diverse group of individuals within Health Information Management as well as ability to deal with staff at all levels in the organization, including medical staff.
Able to visualize the “big” while monitoring the “fine details.”
Have a demonstrated knowledge of operational and capital budgeting within a health organization as well as have a base understanding of the role HIM plays in the revenue cycle of the Hospital.
Exhibit strong leadership skills: Customer service, team facilitator, performance improvement, problem solving, prioritizing, and integrity.
Must have ability to problem solve though diplomatic relationships with members of HIM Management Team, other department and contracted services in the medical center.
Must demonstrate knowledge of how HIM interacts with other departments.
Must show documentation of continued education as required.
Must demonstrate general knowledge of fiscal aspects of HIM: DRG’s, APG’s, Managed Care, ABN’s, healthcare environment issues.

Nice To Haves

Registered Health Information Administrator/Registered Health Information Technician preferred.
Experience with the management of electronic of data strongly recommended.

Responsibilities

Ensure patient confidentiality and information security according to the laws and regulations governing release of information and HIPAA guidelines.
Manage, implement, and champion strategic changes for MMC HIM Department with the System Director. Oversee allocation of staff for proper utilization of personnel in relation to patient, service line and organizational needs.
Interview, hire, train, retain and continually educate MMC HIM department team. Routinely measure, report and review individual staff performance and achievement of outlined indicators with consistent accountability. Identify opportunities for professional and personal development of self and team members. Review job duties of team to improve processes and enhance efficiencies. Complete performance appraisals, corrective actions, coaching and other personnel related functions as deemed needed.
Completes research and analysis as needed to evaluate various operational issues and processes and present findings with appropriate recommendations. Implement findings and recommendations as appropriate. Analyzes data and statistics that contribute to improvements in patient care and productivity. Leads in enhancing department’s revenue cycle quality improvement and compliance initiatives. Ensures publication of monthly performance metrics dashboard.
Support the System Director in coordinating and aligning HIM Functions in all MHS Affiliates.
Ensure accurate and timely retrieval of patient/physician/staff information requests.
Manage the personnel requirements for payroll and human resources, ensure adequate staffing for operations, ensure adequate support for systems and participate in committee preparation and committee functions.
Oversees management of the technical and operational function of department applications and systems, including technical support, maintenance, project planning, and technological and process improvement initiatives.
Maintain compliance within the organization and the department according to hospital and departmental policies and procedures, mission and vision.
Ensure the quality of medical information by verifying the completeness, accuracy, and proper entry in computer systems.
Provide support to all levels of the organization-clinical, financial, and administrative that uses patient data in decision-making and daily operations.
Provide training, coaching, mentoring, and orientation and job evaluations for staff.
Identify and track quality indicators for specific job functions. Initiate training and/or corrective actions as necessary.
Determine and identify employees’ goals for improvement and facilitate growth within the Health Information Department and in conjunctions with annual goals developed by Memorial Medical Center. Monitor and motivate employees to achieve maximum performance.
Develop Health Information Goals and areas of improvement. Responsible for the revision of Policies and Procedures, and job descriptions.
Provide quality customer service with support for the Hospital’s Mission and Vision, acting as a source of information for HIM as well as an ambassador for the Medical Center.
Lead Hospital and/or Department meetings as needed with promptness, preparedness and enthusiasm.
Develop the annual operating budget and operate within the limits of the budget. If not operating within budget limits, demonstrate steps taken to correct variance.
