About The Position

The Membership Coordinator is responsible for maintaining accurate membership records and files, receiving, logging, and safeguarding membership information and program fees. This role involves greeting and directing club members and visitors, providing informational materials, answering the phone, responding to inquiries, and offering clerical support to club staff. The position requires a professional customer service attitude, acting as a role model to club members, and participating in team efforts for effective club operations.

Requirements

  • High School diploma or GED equivalent.
  • Knowledge of office practices and customer service.
  • Experience using office equipment.
  • Proficient in Microsoft Office software.
  • Strong organizational skills.
  • Excellent written and verbal communication skills.
  • Must be a team player.

  • Must be able to multi-task.

Responsibilities

  • Manage club member data daily, ensuring accuracy, completion of applications, collection of fees, and issuance of membership cards.
  • Assist club members daily with scanning membership cards before entering program areas, and promptly create and reissue membership cards.
  • Assist club members who forget membership cards with alternate sign-in methods.
  • Maintain membership and attendance records and prepare associated reports.
  • Accurately obtain and enter individual program area rosters daily.
  • Monitor the use of the phone and public address system.
  • Maintain a professional customer service attitude, greeting members, parents, staff, and visitors warmly and helpfully.
  • Monitor visitor access and sign-in as required.
  • Respond to inquiries from visitors, parents, volunteers, and club members, or redirect questions to appropriate staff.
  • Answer incoming telephone calls, determine caller purpose, and forward calls to appropriate personnel or department.
  • Answer questions about the organization and provide callers with addresses, directions, and other information.
  • Take and deliver messages or transfer calls to voicemail when appropriate personnel are unavailable.
  • Act as a role model to club members.
  • Collect membership, summer, field trip, program, and special event fees, maintaining logs and safeguarding financial information.
  • Track member payment plans and follow up until payments are received in full, or alert supervisor when unable to collect.
  • Provide parents and visitors with flyers and other written information concerning club programs and special events.
  • Receive, sort, and route mail, and maintain and route publications.
  • Perform other clerical duties as needed, such as filing, photocopying, and collating.
  • Keep files organized and up-to-date.
  • Keep work area neat and orderly.
  • Monitor supply needs; may order, receive, and maintain supplies approved for order.
  • Participate as part of a team for effective club operations by helping out where needed or directed.
  • Ensure a productive work environment by participating in club staff meetings.
  • Participate in training/educational opportunities to expand knowledge and skills.
