About The Position

The Membership and Annual Giving Coordinator plays a key role in growing and maintaining the membership program, stewarding relationships with members, and implementing annual giving campaigns. The Coordinator is responsible for managing day-to-day operations of the membership program, coordinating campaign implementation, and proactively identifying opportunities to improve processes, enhance the visitor and member experience, and support revenue growth. This role exercises initiative and independent judgment while collaborating closely with the Senior Manager of Membership and Annual Giving and the broader Advancement team. The Membership and Annual Giving Coordinator also provides general administrative and operational support to the Advancement department, including coordinating meetings, preparing materials, maintaining files, and assisting with department-wide projects as assigned. The role also supports cross-functional Advancement initiatives by assisting with communications, data management, reporting, and special projects.

Requirements

  • Minimum high school diploma required, BA preferred or equivalent preferred
  • Minimum 2 years of experience in an administrative or development capacity; experience in a cultural organization preferred
  • Work experience in sales, customer service, or membership-based institution or non-profit
  • Experience working with an integrated Customer Relationship Management (CRM) system (Tessitura experience preferred)
  • Strong written and verbal communication skills
  • Ability to work independently, as well as collaboratively in a team environment
  • Detail oriented and exceptional organizational skills
  • Must be proficient with Microsoft Word, Outlook, Excel and PowerPoint

Responsibilities

  • Build and implement annual membership campaigns and events using Tessitura CRM, track all benefits, and coordinate all membership data from online, mail, phone and onsite sources.
  • Coordinate implementation of membership knowledge and sales with colleagues in Box Office.
  • Process and close all customer service inquiries from incoming membership transactions.
  • Routinely organize and process membership fulfillments from data exporting, reformatting, printing and mailing.
  • Answer member phone calls, emails and web inquiries with great customer service, selling tickets and resolving membership account issues.
  • Collaborate with the Senior Manager of Membership and Annual Giving in the planning and implementation of membership programs and events both on and offsite and in representing the Membership program to the visiting and larger public.
  • Coordinate event logistics for member programs and events, including registration, communications, vendor coordination, onsite support, and post-event follow-up.
  • Assist the Senior Manager of Membership and Annual Giving with implementation of membership campaigns, including print collateral and online campaigns by coordinating with design, vendors, and email platforms as applicable - particularly for Member Appreciation Month.
  • Maintain event materials, supplies, and promotions support membership and annual giving initiatives.
  • Track and maintain inventory of membership supplies and collateral.
  • Support the maintenance and development of member and donor profiles in constituent database in coordination with the advancement team and other Tessitura users.
  • Participate in all aspects of advancement and fundraising events as needed.
  • Continue to expand knowledge of Membership modules, segmentation, contact point permissions and support Tessitura management alongside other core users by learning independently, and by attending meetings, working groups, and training sessions.
  • Assist the Senior Manager of Membership and Annual Giving with implementation of annual giving campaigns and other fundraising appeals, including direct mail and online campaigns.
  • Track solicitation results, compile and analyze campaign data, and identify trends and recommendations to support future fundraising strategies, including interpreting reports related to annual fund giving to support strategic decision-making and program growth.
  • Contribute to gift acknowledgement process in collaboration with Advancement Coordinator and help assure that all donations are properly documented and stewarded.
  • Generate reports related to annual fund giving that assists the team in strategizing for growth.
  • Assist with all departmental fundraising events including, but not limited to, the annual Benefit and additional Advancement department events as assigned.
  • Provide logistical and administrative support for Advancement events, including invitations, registrations, guest lists, event materials, and onsite execution.
  • Assist the Senior Manager with financial tracking and budget management for Membership and Annual Giving.
  • Fulfill and track Charitable Giving requests from other organizations (guest passes and memberships) with the Administrative Assistant.
