About The Position

Parthenon Management Group (PMG) is an association management company offering management services to professional and trade associations. PMG provides strategic guidance and creative solutions with a vision for the future. The Meetings Manager is responsible for all logistics for PMG client meetings. This role involves working with the assigned Meetings Content Manager and Association Manager to ensure all logistic details are complete for the meeting.

Requirements

  • Bachelor’s degree with a minimum of 2 years of experience in event and meeting management or non-profit societies, or 5+ years of experience in event and meeting management required.
  • Knowledge of current trends and best practices in event and meeting planning.
  • Exceptional communication skills.
  • Proactive approach to managing potential issues.
  • Strong organizational skills.
  • Ability to prioritize multiple tasks from various project managers and clearly communicate timeline for completion.
  • Proficient in MS Office.

Nice To Haves

  • CMP or equivalent certification preferred.

Responsibilities

  • Handle all aspects of event management, including communicating with venues, preparing function sheets, managing the contracting process (RFP, sourcing, negotiations, execution, reconciliation), managing hotel and travel accommodations, coordinating AV, decorator, internet, and other ancillary meeting services.
  • Develop and maintain the conference registration site, manage housing room block inventory, monitor registration pace and hotel pick-up reports for forecasts and budgets.
  • Develop meeting evaluations for attendees and coordinate/manage committee and affiliate meetings.
  • Work with the Meetings Content Manager to organize sessions and schedule for the meeting.
  • Secure event insurance and event cancellation insurance if desired by client.
  • Develop and present corporate support and/or exhibit prospectus for approval.
  • Provide oversight, direction, and management for exhibitors attending the conference, and manage exhibitors and sponsors onsite.
  • Create and manage the meeting website, work with the Marketing Team to design conference banners and promotional materials, and print material for other meetings.
  • Develop and upkeep email and social media marketing timelines for the meeting and its deadlines.
  • Create, present, and update the meetings budget to the board for approval, and reconcile meeting financials at the conclusion of the meeting.
  • Secure accreditation agreement with preferred accreditor, ensure presenters' disclosures are approved by accreditor, create post-meeting evaluations based on society's preferred methods of accreditation, and process accreditation certificates to meeting attendees.
  • Serve as the primary contact for the meeting and main hotel and vendor liaison.
  • Ensure all hotel logistics are being implemented based on planning needs utilizing fully fleshed out staffing grid in concert with venue and vendors.
  • Provide full onsite orchestration of event management and leadership from the PMG side, including assigning tasks to on-site staff and leading the client staff team onsite.
