Job Summary: The Medical Support Specialist plays a critical role in supporting the Outpatient Psychiatric Services Team. This position works collaboratively with physicians, nurses, and medical leadership to deliver high-quality patient care. Responsibilities include performing initial patient assessments, such as taking vital signs, conducting interviews, and documenting visit details. The specialist ensures timely follow-up by reviewing patient appointments, verifying documentation (e.g., lab results, discharge summaries), and confirming referral completion. A solid understanding of psychiatric medications, diagnoses, and treatment plans is required. Additionally, the role involves managing the provider schedule to optimize access to care, answering patient calls, scheduling appointments accurately, and maintaining infection prevention standards. The Medical Support Specialist is also responsible for performing intake functions and ensuring patients are properly connected to psychiatric services. This position may require you to work standard hours, as well as flexible hours both before and after standard hours necessary to positions needs. Requirements

  • High School Diploma or GED required
  • May perform phlebotomy and administer medication injections under the delegation and supervision of a licensed provider (MD, DO, NP, PA, or RN as permitted) in accordance with Colorado Medical Board and DORA regulations
  • Performs in-house CLIA-waived testing in compliance with CLIA regulations, including quality control procedures and documentation requirements
  • Graduation from a Medical Assistant Program is required, with completion within the past 5 years, unless you have relevant work experience since the completion of your training.
  • National certification (RMA or CMA) is preferred but not required.
  • Must fulfill training requirements in accordance with Colorado Medical Board and DORA delegation guidelines for phlebotomy and medication administration.
  • EMTs and military-trained medical personnel will be considered, provided their training aligns with Colorado regulations for delegation and outpatient clinical practice.
  • Strong customer service, communication, prioritization, and organization skills required
  • Must have sufficient language skills and be able to communicate both verbally and in writing to accurately and professionally implement and document the services provided to clients.
  • Possess basic computer navigation skills for the input and output of client information, using electronic record. Excellent data entry skills required.
  • Experience using various treatment modalities appropriate for specified population, utilizing strength-based therapeutic approaches.
  • Experience working in a team environment with rapidly changing priorities.

Responsibilities

  • Reviews charts prior to day of appointment to determine treatment and administrative priorities
  • Participates in team huddles (staffing)
  • Supports clinic workflow by rooming patients in person or connecting telehealth, and completing all needed documentation.
  • Prepares patient rooms using infection control practices
  • Facilitates telepsych care to include navigation and preliminary troubleshooting of technology involved
  • Performs and documents patient vitals, to include pulse rate, temperature, blood pressure, weight, height and SPO2, and report any abnormal to nursing/provider staff.
  • May perform phlebotomy
  • Medication Injections
  • Completes outreach to client to aid in backfilling provider access.
  • Completes appointment exception documentation when client or provider requests.
  • Updates patient information accurately and timely in electronic health record
  • Completes CCARS and ensures required assessments are completed for medication only clients.
  • Completes Prior Authorization for medications as needed
  • Performs in house CLIA waived testing when applicable. Completes quality controls as required.
  • Completes patient referrals and follows up per policy on completion of referred services.
  • Enters lab orders into system and follows up on completion prior to next appointment.
  • Assists in completing all incoming paperwork/forms using patient information from EHR. Forward to appropriate provider anytime a medical or clinical decision must be made. Assures appropriate ROI’s are completed and that the documents are completed within stated organizational goals.
  • Monitor and maintain supply levels; ensure all expired supplies are regularly removed
  • Effectively and professionally communicate with patients, internal and external providers and documents all communication in medical records
  • Supports providers productivity and schedule utilization by scheduling for outpatient psychiatry service delivery lines.
