About The Position

The Medical Support Assistant (MSA) serves as the first point of contact and plays an essential role in coordinating patient care. Responsibilities include scheduling appointments, managing patient communications, maintaining electronic medical records, supporting Community Care referrals, and ensuring Veterans receive timely, professional service. Successful candidates are organized, detail-oriented, compassionate, and thrive in a fast-paced healthcare environment.

Requirements

  • U.S. Citizen.
  • High School Diploma or GED.
  • Minimum six (6) months of customer service experience.
  • Basic knowledge of medical terminology.
  • Typing speed of at least 50 words per minute.
  • Basic computer proficiency.
  • Strong verbal and written English communication skills.
  • Ability to work independently and as part of a team.

Responsibilities

  • Schedule, cancel, and reschedule patient appointments in accordance with VA scheduling guidelines.
  • Greet and check in Veterans while providing outstanding customer service.
  • Answer and route incoming telephone calls professionally and courteously.
  • Coordinate Community Care referrals and authorizations.
  • Process consults utilizing HealthShare Referral Manager (HSRM), Provider Profile Management System (PPMS), CPRS, and VistA.
  • Update patient demographic, insurance, and emergency contact information.
  • Enter and maintain accurate patient records within VA electronic health record systems.
  • Monitor appointment recalls, reminders, cancellations, and no-show reports.
  • Receive and process medical records into the VA electronic record.
  • Collaborate with providers, nurses, and clinic staff to coordinate patient care.
  • Utilize Microsoft Office applications including Outlook, Word, Excel, and Teams daily.
  • Protect patient confidentiality and comply with HIPAA and VA privacy regulations.
  • Complete additional administrative and scheduling duties as assigned.
