About The Position

CA&M, Inc. is seeking Medical Support Assistants (Full time, Part Time, and on-call) to support the NIH Clinical Center, the nation's largest hospital dedicated to clinical research. The center serves approximately 10,000 new Research Participants annually, including patient volunteers with specific diseases and healthy volunteers. Medical Support Assistants are essential for enhancing the experience of both patient and healthy volunteers, playing a critical role in supporting the clinical research mission of the NIH Clinical Center. This position requires a blend of administrative and customer service skills, involving direct interaction with patients, visitors, and staff.

Requirements

  • Recent experience working in a health care setting directly (face to face) with patients.
  • Knowledge of an electronic medical record and/or scheduling system.
  • Knowledge of basic medical terms.
  • Strong administrative and organizational skills.
  • Customer service experience with excellent verbal and written communication skills.
  • Chicken Pox (must show evidence of vaccine/titer levels indicating immunity status).
  • MMR (must show evidence of disease or vaccine/titer levels indicating immunity status).
  • Influenza Vaccine (must show evidence of disease or vaccine/titer levels indicating immunity status).

Responsibilities

  • Scheduling patient appointments in the computerized appointment scheduling system, ensuring accuracy and adherence to guidelines.
  • Completing requests for new or modified schedule templates.
  • Transcribing requests for patient admission, pre-registering patients, admitting inpatients, and registering new outpatients.
  • Applying accurate patient identification wristbands to all patients.
  • Assisting physicians, nurses, and patients with forms and procedures related to patient expirations.
  • Preparing work areas for the day, receiving and directing telephone calls, providing reception services, and arranging for interpreter services.
  • Closing work areas according to standard procedures.
  • Documenting calls or requests accurately, prioritizing them, and ensuring timely responses.
  • Preparing medical records or visit paperwork for patient visits, assembling and disassembling inpatient charts for filing.
  • Submitting patient records to the Health Information Management Department after applying the correct patient label.
  • Performing monthly safety inspections.
  • Providing requested patient identification materials such as labels and wristbands.
  • Requesting and stocking appropriate medical and office supplies and forms.
  • Acquiring meals and snacks for patients.
  • Monitoring patient care nutrition and specimen refrigerator temperatures daily.
  • Transcribing requests for patient travel authorizations into the NIH Business Systems (NBS).
  • Issuing travel authorizations and vouchers for approval before disbursement.
  • Scanning all travel documents into the appropriate electronic patient record.
  • Reconciling lodging and taxi invoices against travel authorizations.
  • Arranging authorized patient travel and transportation.
  • Entering data, producing, and/or distributing various reports.
  • Collecting and entering patient wait and processing time statistics.
  • Filing documents and documenting topics discussed in meetings and orientations.
  • Issuing keys and controlling key inventory.
