About The Position

The Medical Staff Administrative Manager manages and coordinates all activities of Medical Staff Services: Medical Staff Services activities, Medical Staff Administrative services, the Medical Education Program, and Medical Staff Credentialing Processes. Acts as liaison between the medical staff and medical centers within parameters established by leadership.

Associates Degree
1 or more years of medical staff office, provider credentialing, hospital leadership, or practice management experience.

Certified Professional Medical Services Management (CPMSM) - National Association of Medical Staff Services (NAMSS)

Responsibilities

Provides oversight and coordination for the operations of the Medical Staff Office functions, Credentialing Processes and Medical Education.
Ensures policies and procedures for the department are current and implemented.
Acts as liaison between the medical staff and medical centers within parameters established by the Chief Executive Officer and officers of the medical staff.
Assists medical staff officers, service chiefs and committee chairmen in fulfilling the responsibilities of their offices/appointments.
Assists in developing and maintaining physician and medical staff officer orientation programs.
In collaboration with the Medical staff, assures Medical Staff Bylaws, Credentialing Manual and Rules & Regulations, Medical Staff Policies and Procedures are current and accurate.
Has in-depth knowledge of and serves as resource person for interpretation and understanding of said documents.
Works closely with the Chief Compliance and Risk Officer and Clinical Risk Manager.
Participates in risk reduction activities and liability mitigation as directed.
Supports the Medical Staff Officers and Service Chiefs facilitate the peer review process.
Collaborates with the Clinical Risk Manager in preparing correspondence with providers for follow up peer review reports.
Assures compliance of regulatory and accreditation compliance for areas related to medical staff services and medical staff education.
Provides oversight and direction for compliance efforts. E.g. CoP's, JC standards, Kansas Medical Society (KMS), federal, state, etc.
Participates in committees, meetings, and / or projects as assigned.
Able to lead projects to completion as assigned.
Completes agenda, minutes, reports for committees.
Able to serve as a committee or meeting chair or facilitator if assigned
Assists in establishing measures as it relates to medical staff services and the medical and/or allied health staff.
Completes or coordinates data collection, analysis, interpretation and display of data for various reports.
Assures data is accurate and timely.
Ensures collection of medical staff and allied health staff specific data for health system is accurate and timely.
Compiles and analyzes data with various departments for monthly, quarterly and annual review.
Performs budget management in a manner of responsibility and accountability.
Prepares annual budgets for medical staff organization, medical staff office, and medical staff lounge and submits for appropriate approvals.
Supervises payments from accounts and maintenance of appropriate records for the department and medical staff account.
Works collaboratively with Executive Leadership and legal on creating, renewing and evaluating applicable contracts relating to medical staff physician services.
Attends bi-weekly Physician Contract meeting.
Participates in New Service Implementation Work Group monthly meeting.
Initiates, all working documents, correspondence and meetings with Executive Leadership, Medical Staff Leadership, Legal Department and Risk Management relating to Practitioner Health Committee items.
Ensures monitoring programs with providers on staff with the Kansas Medical Society Impaired Practitioner Health program are in compliance and all documentation is maintained and conveyed appropriately.
Schedules and coordinates all on-site drug testing for providers as appropriate.
Coordinates and manages all delegated credentialing.
Schedules and coordinates all surveys and ensures compliance with NCQA standards are met.
Other duties as assigned.
Manages time effectively, consistently meets deadlines, manages attendance and timeliness.
Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.
