About The Position

We are looking for a highly organized and discreet professional to provide high-level administrative and operational support to our medical services and leadership team. This role works closely with the Chief Medical Officer, senior psychiatric supervisors, and medical leadership to support provider operations, scheduling, and clinical service coordination. The ideal candidate is comfortable working with confidential and sensitive information, including provider performance data, scheduling and coverage planning, and internal operational matters, and demonstrates excellent judgment, professionalism, and attention to detail. Schedule: Monday - Friday 8:30am 5:00pm Location: Tukwila East (6400 Southcenter Blvd. Tukwila, WA 98188)

Requirements

  • Ability to support medical leadership by managing administrative and operational workflows involving highly confidential provider information, including scheduling, productivity data, coverage planning, and internal performance metrics.
  • Demonstrated proficiency in electronic medical record (EMR) systems and data reporting tools to assign providers, track caseloads, and generate reports.
  • Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
  • Ability to exercise sound judgment, maintain strict confidentiality, and communicate professionally while working independently in a fast-paced healthcare environment and in collaboration with senior medical staff.
  • AA or Bachelor’s degree, preferably in a health or human services discipline preferred.
  • One year’s experience in a health or human service setting
  • Must pass a criminal background check.
  • To successfully perform the essential duties of this position, an individual must be able to sit at a desk for six or more hours a day, and use office equipment, including phones and computer keyboards, for six or more hours per day. Individuals must be able to engage clients over the phone and in-person by voice. Regular attendance is an essential function of the position. Responsibilities

  • Assign clients to medical providers in the electronic medical record and maintain provider caseload data using Tableau, including access to provider-level productivity and performance information.
  • Generate, review, and distribute confidential provider reports related to draft notes, documentation timeliness, face-to-face service time, and other clinical efficiency metrics.
  • Support scheduling decisions for urgent psychiatric evaluations and follow-up appointments, which may involve confidential provider availability, workload, and coverage considerations.
  • Coordinate scheduling of mobile health services with partner agencies, including provider assignment and coverage planning.
  • Manage and maintain the medical team’s on-call and coverage scheduling calendar, requiring access to sensitive provider availability, compensation-related coverage details, and internal staffing plans.
  • Ensure Release of Information (ROI) requests are sent to physicians, hospitals, schools, and other entities, maintaining strict confidentiality and compliance with privacy regulations.
  • Track and monitor receipt of inpatient discharge and jail release documentation containing protected health information (PHI).
  • Provide calendar management and scheduling support for the Chief Medical Officer, including handling confidential meetings, personnel-related discussions, and leadership communications.
  • Support scheduling and coordination of student rotations, including ARNP students and family medicine and psychiatry residents, in collaboration with medical leadership.
  • Exercise independent judgment and discretion when handling confidential provider information, internal operational data, and leadership communications.
  • Maintain a high level of organization, accuracy, and attention to detail while managing sensitive information.
  • Demonstrate strong problem-solving, leadership, conflict-management, and collaboration skills to support a productive work environment.
  • Comply with all applicable federal, state, and county laws and regulations, as well as organizational policies, procedures, and safety standards.
  • Perform other duties as assigned based on program and organizational needs.
