This position is for a Medical Secretary in the Endocrinology/Urology department located in Garden City. The role involves performing secretarial duties to support the practice and department, including appointment scheduling, insurance verification, managing referrals and prior authorizations, maintaining medical records, and facilitating patient flow. The successful candidate will assist in the organization and management of information and patient services within the department.

Requirements

  • High School or Equivalent Required.
  • 1-2 years Secretarial experience in a medical or a health care facility setting.

Nice To Haves

  • Associate's Degree in a related field.
  • 3-5 years prior experience with surgical scheduling and obtaining authorizations for visits/procedures.
  • Knowledge of EPIC.

Responsibilities

  • Provides administrative support to the practice physicians and management.
  • Answers telephone and greets visitors, responding to routine inquiries.
  • Maintains an efficient filing system and manages incoming mail.
  • Schedules appointments and maintains physician calendars.
  • Types reports, memos, forms, and letters; transcribes information.
  • May make travel arrangements and process vouchers for reimbursement, maintaining expense records.
  • May maintain the Physician's academic calendar.
  • Provides support for Special Procedures, including physician scheduling and data collection for monthly reports.
  • Obtains all necessary referrals and authorizations from insurance carriers for patient services, including examination, procedure, and admission authorizations.
  • Types and maintains correspondence required for patient compliance of care, including editing/typing dictation of patient consultations, follow-up letters, and other correspondence.
  • Schedules patient appointments in accordance with office policy, confirms new and follow-up appointments, and prints weekly and daily physician schedules.
  • Reschedules patients from the bump list and contacts no-show patients, documenting interactions in the chart.
  • Ensures proper referrals are in place for patient visits, reviews superbills for missing information, and updates patient demographics in EPIC.
  • Provides patients with HIPAA documentation.
  • Maintains patient files, scanning all relevant reports, insurance information, demographic data, and progress notes into the electronic health record.
  • Performs other duties as assigned.
