About The Position

L.I.F.E. Inc is seeking a dynamic, detail-oriented, and friendly Medical Secretary to join their team. This role is crucial in ensuring individuals receive quality care by supporting medical, dental, vision, and other provider services. The Medical Secretary will work under the direct supervision of the Healthcare Administrator, performing various tasks to assist the Adult Medical Day Care Services (AMDCS) and Community Living Program (CL). This includes general administrative duties for adults with disabilities in their programs.

Requirements

  • Previous experience as a medical secretary, medical receptionist, or in a healthcare administrative role preferred.
  • Detailed oriented and able to complete tasks in a timely manner.
  • Experience with electronic health records (EHR/EMR) systems is preferred.
  • Ability to maintain confidentiality and handle sensitive patient information in accordance with HIPAA regulations.
  • Good interpersonal skills.
  • Ability to work and solve problems independently.
  • Intermediate computer proficiency, including the ability to effectively use Microsoft Word and Microsoft Excel for document creation, data entry, spreadsheets, and reporting.
  • Flexibility and willingness to handle multiple responsibilities.
  • Excellent verbal and written communication skills.
  • Ability to work with little direct supervision.
  • Ability to complete tasks with numerous interruptions.
  • Ability to handle confidential information.
  • High school diploma or equivalent required.
  • Adept in use of MS Word and Excel.
  • At least 1-year experience as a medical secretary preferred.
  • Must have excellent communication, time management and decision-making skills.
  • Demonstrated ability to build positive interpersonal relationships.

Responsibilities

  • File and purge medical records for individuals served.
  • Create electronic records for individuals served and file using software iCare Manager.
  • Create medical charts and forms as directed by supervisor.
  • Schedule individuals’ medical appointments in conjunction with the transportation department.
  • Enter upcoming medical appointments on the appointment sheet and iCare Manager.
  • Order, receive, and distribute durable and non-durable medical supplies.
  • Follow up with all providers and request medication and supplies.
  • Receive and route messages or documents, such as laboratory results, to appropriate staff.
  • Maintain medical records.
  • Transmit correspondence or medical records by mail, e-mail, or fax.
  • Provide updates to supervisor regarding requests, appointments, supplies, and documentation needed.
  • Other duties as assigned.
