About The Position

NYU Langone Health is seeking a Medical Secretary for their Non Invasive Cardiology department. This role provides essential support for Medical Office intake operations, including scheduling patient visits, treatments, and procedures, and obtaining necessary pre-authorizations and certifications. The position may also involve assisting less senior staff and covering the front desk.

Requirements

  • High School diploma.
  • One year of relevant medical clerical experience.
  • Prior physician practice experience.
  • Knowledge of medical terminology.
  • Light, accurate keyboarding skills required.
  • Excellent organizational skills.
  • Excellent interpersonal communication skills required.
  • Must be able to effectively communicate with all levels of the organization.

Responsibilities

  • Maintains and receives files for the area in an organized and up-to-date manner, completing filing in accordance with departmental procedures.
  • Sorts and distributes documents and forms for the area section, logging in materials with respect to time and date when applicable.
  • Processes incoming and outgoing documents, securing appropriate signatures and forwarding them to the correct destination.
  • Faxes documents in accordance with departmental procedures.
  • Provides reception assistance, including greeting patients, answering calls, and directing requests to the proper individual.
  • Schedules routine appointments and follow-ups for visits and procedures that do not require pre-authorization or have already been pre-authorized.
  • Prepares the daily schedule and refers all inquiries regarding pre-authorizations/certifications to the Medical Secretary.
  • Maintains supplies and cleanliness of the space, restocking supplies as needed and notifying the supervisor of any shortages.
  • May assist, provide guidance, and/or train less senior staff with completing intake-related duties.
  • Prepares simple, routine memoranda, letters, labels, correspondence, and other documents as needed, reviewing work for accuracy and completeness.
  • Maintains routine calendar and assists in basic preparation for conferences and related duties.
  • Maintains workload statistics and other data for departmental records, recording statistics in established time intervals.
  • Primarily responsible for taking patient phone calls and scheduling over the phone, including collecting demographic data, verifying insurance eligibility, coordinating pre-authorizations, taking medical history, and assigning appointments based on physician, procedure, and insurance coverage.
  • Post patient-appointment, coordinates inter-departmental scheduling for specialist visits, scans, and procedures in accordance with insurance coverage and physician directives.
  • Collaborates with other areas of the Medical Center and insurance providers to obtain pre-authorizations/certifications for treatments and diagnostic procedures.
  • Responsible for Pre-Authorizations and Certifications with the exception of surgical procedures, ensuring appropriate coding and questioning physicians for accuracy.
  • Responsible for patient check-in and check-out, gathering demographic data and materials, verifying insurance eligibility, collecting and having patients sign necessary documents.
  • Scans all necessary documents into the intake system.
  • Monitors intake work queue for timely intake completion.
  • Refers patients with questions regarding insurance coverage or financial matters to the Business Office Associate.
  • Maintains cooperative and professional relationships with physicians, nurses, and office and clinical staff.
  • Types routine material such as forms and letters neatly, accurately, and according to instructions.
  • Answers patient questions to ensure understanding and patient satisfaction, or refers them to more senior level staff.
  • Maintains confidentiality on matters to which they are privileged.
  • Performs other related duties as needed by providers and supervisors.
