About The Position

The Medical Secretary II performs all secretarial functions to include but not limited to answering phones, taking messages, scheduling appointments, editing and proofreading materials, and distributing correspondence. The Medical Secretary II is responsible for monitoring patients’ check-in and checkout and performing other duties as assigned. This role involves protecting patient and employee privacy and confidentiality, addressing all individuals with courtesy and respect, and collaborating with patients, families, and ancillary departments to provide continuous and well-coordinated care. The position requires accurate maintenance of charts, files, and identification numbers, as well as obtaining, verifying, and documenting required patient information. A key responsibility is facilitating an efficient and professional registration process by obtaining demographic and financial information for reimbursement and statistical analysis, accurately entering data into the EPIC system, and ensuring the completeness and accuracy of all registration forms and documents. The role also includes scheduling follow-up visits, printing daily clinic schedules, preparing new patient information packets, answering and triaging telephone calls, collecting physician practice authorizations, and explaining general policies related to registration, co-payments, referrals, pre-authorizations, and deductibles.

  • Explains general policies related to registration, co-payments, referrals, pre-authorizations, and deductibles as well as policies related to physician billing and different specialty services within UMSJMG.
