This role provides essential administrative support within the Surgery department, focusing on patient care coordination, insurance authorization, surgical scheduling, residency program administration, and general departmental support. The ideal candidate will be proficient in Microsoft Office, possess strong organizational and communication skills, and have experience in a medical office setting.

Requirements

  • High School Diploma required.
  • Minimum of two (2) years of medical office or physician practice experience required.
  • Proficiency in Microsoft Office applications.
  • Knowledge of insurance authorization processes, medical terminology, surgical scheduling, and medical record management.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Attention to detail and accuracy.
  • Ability to maintain confidentiality and HIPAA compliance.
  • Ability to work efficiently in a fast-paced healthcare environment.

Nice To Haves

  • Experience in patient scheduling, insurance verification, authorizations, surgical scheduling, and healthcare administration preferred.
  • Familiarity with Envision and CBay systems preferred.

Responsibilities

  • Provides support and ensures the smooth flow of patient care, including registration, scheduling, and pre- and post-operative follow-up calls.
  • Schedules post-operative appointments and coordinates follow-up care with providers.
  • Resolves patient concerns and responds to questions regarding office policies and procedures.
  • Verifies patient demographics and maintains accurate patient records and documentation.
  • Serves as a liaison between patients, providers, and other healthcare professionals to ensure continuity of care.
  • Obtains prior authorizations and pre-certifications from insurance carriers for surgical procedures, diagnostic testing, and medical services.
  • Verifies insurance eligibility, benefits, and coverage requirements.
  • Coordinates and obtains medical clearances required for scheduled procedures and surgeries.
  • Ensures all required documentation is completed prior to surgical dates.
  • Coordinates all operating room surgeries and procedures.
  • Schedules surgical cases and manages procedure logistics.
  • Places surgical confirmation calls for scheduled surgeries and procedures.
  • Acts as liaison between referring physicians and surgeons regarding clinical data, scheduling, and procedural requirements.
  • Collects and distributes all necessary surgical documentation to internal and external parties.
  • Maintains operative logs and accurate records related to surgical scheduling and procedures.
  • Serves as the primary point of contact for Residents and Physician Assistant students.
  • Maintains resident and PA student rotation schedules and records.
  • Coordinates all aspects of the resident credentialing and recredentialing process.
  • Monitors compliance with residency and PA student program requirements and current guidelines.
  • Follows up regarding incomplete credentials and documentation to expedite appointments and reappointments.
  • Administers and supports the New Innovations residency management system, including user training, data management, and reporting.
  • Maintains residency and PA student program files, correspondence, and records.
  • Assists with inquiries, problem resolution, and administrative oversight of residency and student programs.
  • Provides administrative support to physicians and department leadership.
  • Answers telephones, coordinates communications, and handles patient inquiries.
  • Sends physician consultation letters and departmental correspondence.
  • Assists with physician billing and related administrative functions.
  • Maintains office filing systems, records, and transcription reconciliation.
  • Collects and distributes monthly department on-call schedules.
  • Participates in process improvement initiatives to enhance care coordination and operational efficiency.
  • Provides backup support to office administration.
  • Performs additional duties and special projects as assigned.
