About The Position

Counseling and Psychological Services (CAPS) is seeking a professional and detail-oriented Medical Secretary I to provide essential administrative support in a fast-paced mental health setting. This position serves as a key point of contact for students and clients and plays an important role in creating a welcoming, respectful, and confidential environment.

Requirements

  • High School Diploma or Equivalent and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).
  • Ability to maintain boundaries as related to confidentiality.
  • Ability to quickly learn new policies and procedures and computer software programs.
  • Ability to prioritize assigned projects.
  • All applicants must be authorized to work for any U.S. employer.
  • Visa sponsorship is not available for this position, and the university cannot accommodate H-1B transfers or employment-based visa processing for individuals currently sponsored by another employer.

Nice To Haves

  • 1+ year experience working in a medical, clinical, or mental health office setting.
  • Experience providing front desk and high-volume telephone coverage in a healthcare or administrative environment.
  • Experience using electronic records systems, scheduling platforms, or similar administrative software.
  • Experience handling confidential or protected health information (PHI) in compliance with privacy standards.

Responsibilities

  • Serve as the first point of contact for Counseling and Psychological Services clientele and the campus community at large.
  • Create a welcoming, nurturing, and respectful environment for clients.
  • Electronically check-in arriving clients, process all initial electronic client data, and follow-up contact as needed and/or assigned.
  • Assist clients with electronic check-in processes and procedures.
  • Schedule/reschedule appointments.
  • Observe client behaviors and report to Counselor anything of significance.
  • Work effectively with individuals from varied backgrounds and experiences, including those with psychological challenges or those in distress.
  • Provide primary telephone coverage; assess nature of client calls; determine if immediate assistance by a counselor is indicated; create a professional image of CAPS through responsive, respectful telephone behaviors.
  • Follow established CAPS opening and closing protocol.
  • Provide support to professional staff and CAPS projects as requested in a timely manner.
  • Perform other duties as assigned.
