About The Position

myPlace Health is a PACE (Program of All Inclusive Care for the Elderly) organization backed by SCAN Group, dedicated to providing comprehensive medical care, social activities, and daily support to older adults in their own communities. As an Agency Temporary Medical Records Specialist, you will be crucial in maintaining accurate and secure medical records, ensuring participants receive optimal care. This role involves processing medical records, collaborating with healthcare teams, and supporting operational efficiency behind the scenes. Requirements

  • A High School Diploma or GED is required.
  • Knowledge of standard office procedures, including filing, record keeping, and office equipment/software.
  • Experience working with Electronic Medical Records (EMR) systems.
  • Strong communication and interpersonal skills.
  • Highly organized and detail-oriented.
  • Ability to manage multiple requests and ensure accuracy.
  • Proof of Tuberculosis screening upon hire or within the last year is required, with provisions for interactive process for reasonable accommodations.

Nice To Haves

  • Additional training or certification in medical records management.
  • 3+ years of prior experience in a front office role within a healthcare setting, especially handling medical records.
  • Certified Nursing Assistant (CNA) certification.
  • Additional Medical Records Specialist training and/or certification.
  • Experience working with frail elderly populations in settings such as PACE, home health, SNF, or hospitals.
  • Advanced understanding of medical terminology and administrative processes.
  • Familiarity with HIPAA, DHCS, and CMS regulations.

Responsibilities

  • Secure and maintain signed medical record consent forms, ensuring proper storage in electronic or paper files.
  • Process and organize incoming faxes, emails, and mail containing medical records from providers.
  • Handle priority medical record requests for the Interdisciplinary Team (IDT) and collaborate with the Compliance Department on legal requests.
  • Retrieve and securely release medical records to authorized providers in compliance with HIPAA regulations.
  • Review all records for accuracy, ensuring documentation meets DHCS and CMS standards.
  • Initiate medical record requests and create participant charts in the Electronic Medical Record (EMR) system.
  • Inform the PACE Clinic Team on the availability of requested records to support participant care.
  • Develop and refine processes for timely collection, tracking, and uploading of medical records into the EMR.
  • Request medical records from external vendors while ensuring compliance with regulatory guidelines.
  • Provide administrative support, including scheduling needs, to ensure smooth operations.
  • Collaborate with Risk Adjustment and Enrollment teams for accurate documentation and record management.
  • Act as a flexible and reliable team player, supporting additional tasks as assigned.
  • Actively support the achievement of myPlace's Vision and Goals.
  • Perform other duties as assigned.
