About The Position

Join The Oregon Clinic as a Full-Time Medical Records Representative Coordinator (Hybrid/Remote) and make an impact in patient-focused healthcare. Work alongside a collaborative team of patient-focused colleagues and physicians in our thriving Gastroenterology South Clinic. This role is crucial in providing patients and stakeholders with a consistent, efficient, and easy experience, ensuring the highest-value care is delivered. The position involves providing coverage for all Medical Records functions, training staff, monitoring work quality, and identifying workflow improvements. The goal is to ensure patients receive the highest-value care tailored to their needs.

Requirements

  • Minimum of two (2) years of work experience, preferably in a medical office.
  • Previous experience with electronic medical records or ability to learn new programs required.
  • Knowledge of medical terminology, medical records policies and procedures, and understanding compliance with all applicable safety/OSHA and HIPAA regulations.
  • Demonstrated experience training and mentoring medical records staff on workflows, policies, procedures, and regulatory compliance while promoting accuracy, efficiency, and excellent patient service.
  • Demonstrated ability to initiate, work independently, and effectively multitask.
  • Excellent attendance and work ethic.
  • Positive attitude and desire to be a team player.
  • Ability to communicate professionally and effectively with patients, physicians, and other team members.
  • A commitment to patient-focused care, privacy, and safety.
  • Must live in Oregon City, Portland, or SW Washington.

Nice To Haves

  • Specialty care GI experience is a plus!
  • Previous medical office experience preferred, and ability to recognize common medical records documents.
  • Prior Electronic Medical Record (EMR) experience is preferred.
  • Epic experience is a plus!

Responsibilities

  • Providing coverage for all Medical Records functions, including indexing, records preparation, recalls, fax management, results letters and records requests.
  • Daily review of workload and prioritization to ensure timely completion of tasks.
  • Training and supporting staff on medical records workflows, policies, and procedures.
  • Monitoring work quality, productivity, and compliance with HIPAA and organizational standards.
  • Serving as a resource for staff and providers regarding medical records processes and documentation requirements.
  • Identifying workflow improvement opportunities and assisting with implementation of process enhancements.
  • Assisting leadership with reporting, auditing, and department metrics.
  • Maintaining accurate patient records and ensuring proper document management within the EMR.
  • Admin tasks as assigned: Aura Report, Daily stats, Recall Review (before and after auto-sending takes place).
  • Other duties as assigned.
