The HIM Records Management Specialist, under the direction of the Manager of Document Lifecycle Management, is responsible for the overall integrity of document scanning/indexing/corrections, forms control and inventory management, and organizational document storage, archiving and destruction. This role involves ensuring medical records maintain quality, accuracy, accessibility, and security in both paper and electronic systems. The specialist prepares medical records for imaging, scans documents into appropriate systems, and indexes them according to department policies and data integrity guidelines. A key part of the role includes conducting quality checks and audits to ensure scanning procedures, privacy guidelines, and data accuracy are upheld. The specialist also handles the prioritization and correction of flagged documents, works with vendors on error correction, and manages the request and return of paper charts from off-site storage. Understanding and adherence to federal, state, and organizational destruction guidelines, as well as business document and medical record retention policies, are crucial. The position also requires participation in cross-coverage support for other functional areas as needed.
