About The Position

The Medical Records Coordinator is responsible for managing electronic health records, handling correspondence related to patient records, and ensuring the accuracy and confidentiality of all patient information. This role involves significant interaction with the electronic health record system, processing record requests, and maintaining organized files. The position requires attention to detail, efficiency in a fast-paced environment, and strong communication skills.

Requirements

  • High school diploma.
  • Knowledge in Health Insurance Portability and Accountability Act (HIPAA).
  • Detail-oriented; able to work accurately and efficiently in a fast-paced environment.
  • Friendly, reliable, and professional both in behavior and appearance.
  • Ability to establish and maintain effective working relationships with other employees, individuals seeking assistance, and the general public.
  • Knowledge of a keyboard.
  • Ability to use a computer and work at a computer workstation.

Nice To Haves

  • Knowledge of medical terminology.
  • Experience with electronic health records.

Responsibilities

  • Performs all electronic health record functions/duties, including utilizing the system for inquiry, entering and sending data, and scanning/indexing documents.
  • Manages chart flow, including pulling and re-filing charts as requested, maintaining non-computerized records, and assisting in the retrieval of paper charts.
  • Acts as the receiving agent for all correspondence requests for records and DTA forms, maintaining records of received and distributed information.
  • Processes correspondence in a timely manner (7 to 10 business days from date of receipt).
  • Copies portions of patient charts as needed for record requests and assists in procedures for billing for extra or special copies.
  • Refers special information requests to providers and notifies providers of timelines.
  • Pulls and prepares patient records for next day appointments.
  • Assists in pulling charts needed for copying or other patient information.
  • Locates missing charts no later than the end of the shift.
  • Acts as the notifying agent for patients needing to return or pick up copies of documents.
  • Repairs worn charts and is responsible for monitoring/reviewing archived charts in storage.
  • Maintains strict standards of confidentiality and privacy with regard to all patient records and correspondence.
  • Assists in chart reviews for completeness of record or tracking purposes.
  • Meets as needed with other staff to improve record-keeping and correspondence systems.
  • Requires viewing a CRT, knowledge of a keyboard, the ability to use a computer, and work at a computer workstation.
  • May require rotation with other medical records personnel to cover other sites.
  • Requires the ability to work extended hours from time to time.
