About The Position

Midwest Orthopaedics at Rush (MOR) is seeking a Medical Records Coordinator to join their nationally recognized team. This role is crucial for maintaining the integrity and accessibility of patient medical records while ensuring compliance with all privacy regulations. The position is based at the corporate office in Westchester, IL, with a requirement for travel to the Chicago office 2-3 times per month. The role is full-time, 40 hours per week, Monday through Friday, 8:30 am to 5:00 pm. After initial onsite training, there will be an opportunity for remote work, requiring the ability to work independently.

Requirements

  • High school diploma or general education degree (GED).
  • Minimum one year of medical records experience, preferred.
  • Knowledge of medical terminology is required.
  • Knowledge of HIPPA and patient privacy regulations.
  • Excellent attention to detail and organizational skills.
  • Ability to work independently and as a part of a team.
  • Strong communication and customer service skills.

Responsibilities

  • Analyzing and responding to requests for medical information, ensuring adherence to Federal and state confidentiality requirements.
  • Performing maintenance, filing, and retrieving active and inactive medical records.
  • Analyzing and processing requests for medical information from outside parties and evaluating legality of releases.
  • Obtaining copies and forwarding patient health information in response to authorized requests for medical information in accordance with patient privacy legislation.
  • Copying, faxing, scanning, or emailing requested files to other sites as needed.
  • Scanning BREG receipts and Iron Mountain charts into NextGen Collects IME charts daily and assisting in scanning as needed.
  • Scanning paperwork in IME charts from previous patient day, scanning entire chart in the case of workers compensation charts and properly labeling it.
  • Picking up medical records releases from the 4th floor.
  • Checking Healthport to see if releases have been received, and if not inter-officeing them to Medical Records.
  • Participating in rotation for NextGen faxes and phones.
  • Scanning op reports from Rush sources (Rush Surgi Center, Gold Coast, Rush Oak Park).
  • Fulfilling requests for MRI reports as instructed.
  • Purging IME charts on a regular basis; boxing and dictating the charts.
  • Running doctors' schedules and ordering charts from Iron Mountain for patient days.
  • Looking up and ordering charts for research coordinators.
  • Placing orders to Iron Mountain for pickup of new and returning charts, as well as placing orders for supplies.
  • Filling in for mailroom duties as needed: picking up and stamping mail, doing mail run.
  • Ordering repository forms as necessary.
  • Notarizing documents for doctors and interns.
  • Filing medical histories and other information in patient charts in proper order following department guidelines.
  • Transporting records to and from physician areas when necessary.
  • Scanning medical records into an appropriate category when received then returning records to an appropriate location.
  • Purging medical records on a regular basis.
  • Maintaining inventory of all necessary supplies, may place orders, may verify deliveries, and approve invoices.
  • Staying abreast of and complying with all state and federal laws including HIPAA, ADA, OSHA, and FLSA.
  • Adapting to change in a positive and professional manner.
  • Providing supplementary assistance to other medical records personnel as needed.
  • Analyzing and reviewing medical records for completeness and accuracy of documentation according to specified standards.
  • Monitoring completion of medical records in accordance with time standards.
  • Auditing incomplete records and preparing reports on delinquencies.
  • Conferring with doctors, nurses, and other health personnel to ensure complete, current, and accurate medical records.
  • Compiling, maintaining, and reviewing logs, reports, and statistical records, and research records to locate health data as requested.
  • Maintaining and utilizing a variety of health record indexes and storage and retrieval systems.
