About The Position

Optim Medical Center - Tattnall is seeking a full-time Medical Records Clerk for our Reidsville, GA location. This role is primarily responsible for abstracting information from patient records, ensuring accuracy and integrity of data prior to release of information. The clerk must maintain strict security and confidentiality of all patient information, adhering to regulations for record access and release. Responsibilities include handling departmental calls, managing requests for information release via mail, walk-ins, fax, or phone, and preparing requests for a Sharecare Contractor. The role also involves scanning documents for chart completion, managing workload efficiently, and expediting Release of Information (ROI) requests in a timely manner. Additionally, the clerk will retrieve and prepare charts, assist outside contract groups with health data, and answer phones professionally. This position requires transporting and retrieving charts from storage, which may involve participating in building work days and lifting boxes weighing over 30 lbs. Maintaining and logging shred boxes, following hospital policies on confidentiality, and accepting additional assignments are also key duties. The clerk must also undergo an annual review of HIPAA, HIM Policy & Procedure, and Fire Safety manuals, as well as annual competency checks for One Content, Paragon, Athena, and ROI.

Requirements

  • Demonstrated good verbal and telephone communication.
  • Familiar with Medical and Surgical related forms.
  • Must be able to keep up with the workload.
  • Ability to lift and stack boxes weighing >30 lbs.
  • Punctual and maintains good attendance record by Employee Handbook guidelines.
  • Knowledge of One Content, Paragon, Athena and ROI.

Responsibilities

  • Abstracts information from the patient record.
  • Ensures accuracy and integrity of medical record abstract data prior to release of information.
  • Maintains security and confidentiality regulations for record access and release.
  • Consults director or supervisor of any unusual request.
  • Ensures all patient information is kept in strict confidence.
  • Receives calls to the department and handles appropriately.
  • Handles request of information release via the US Mail, Walk-in’s, Fax or Phone request.
  • Prepares request for Sharecare Contractor. Verifies validity of request, attaches patient listing, coordinates with Sharecare and manages Spreadsheets for Data list.
  • Scans documents for chart completion.
  • Keeps up with the workload.
  • Completes and expedites ROI in a timely manner.
  • Retrieves, prepares charts and assists the outside contract group for health data.
  • Answers phones and handles request of information in a confidential professional and expedient manner.
  • Transports and retrieves charts from storage buildings including participating in building work days.
  • Maintains and logs all shred boxes appropriately.
  • Follows hospital requirements, policy & standards on confidentiality and release of protected health information.
  • Accepts additional assignments.
  • Is punctual and maintains a good attendance record by Employee Handbook guidelines.
