About The Position

Cascade Community Healthcare (CCH) is seeking a Medical Records & Front Desk Assistant to join their reception team. This role is responsible for processing and releasing medical records while maintaining confidentiality and HIPAA compliance. The position also serves as a backup receptionist, providing excellent customer service, answering phones, and supporting front office operations. CCH has been providing treatment services for over 50 years and focuses on compassionate counseling to help clients make positive changes and live more satisfying lives.

Requirements

  • Minimum of 1–2 years of administrative, medical records, or healthcare office experience preferred.
  • Must be able to pass WA State Patrol background check. National background check may be required if you have not lived in WA State for the last three consecutive years.
  • Must pass the LEIE screening, excluded individuals and entities (LEIE) checks are processed at time of hire, monthly, and annually.
  • Strong organizational, communication, and customer service skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficient in Microsoft Office and general office equipment.
  • Must be able to represent the agency in a positive and professional manner.
  • Must comply with agency policies and procedures.
  • Must have the technical capacity to use work processing programs and electronic health records.
  • Must keep updated demographic and contact information with the Human Resources Department.

Nice To Haves

  • Experience working with Electronic Health Records (EHR) systems is preferred.
  • Knowledge of HIPAA and confidentiality requirements are preferred.
  • Bilingual English/Spanish preferred.

Responsibilities

  • Process requests for release of information (ROI) and medical records in accordance with HIPAA, state, federal, and agency regulations.
  • Maintain accurate and confidential client records within the Electronic Health Record (EHR) system.
  • Verify authorizations and ensure proper documentation before releasing records.
  • Scan, upload, index, and maintain electronic and paper records as needed.
  • Track and document requests, disclosures, and released records.
  • Assist outpatient program staff with chart retrieval and records management.
  • Support audits, compliance reviews, and quality assurance activities related to health information management.
  • Maintain confidentiality and security of all protected health information (PHI).
  • Serve as backup receptionist for outpatient programs as needed.
  • Answer and route incoming phone calls in a courteous and professional manner.
  • Greet clients, visitors, and vendors and provide excellent customer service.
  • Assist with intake paperwork, appointment coordination, and general front office support.
  • Respond to inquiries and correspondence in a timely and professional manner.
  • Maintain a welcoming and organized reception area.
